Job Description
Our Opening and Your Responsibilities
Summary : Responsible for providing support for the General Managers of PIUS-MO and PIUS-PO. Performs advanced, diversified and confidential secretarial and administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices. The Executive Administrator will handle all types of administrative functions including extensive calendaring, document production and filing, PowerPoint presentations, attendance and minutes at team meetings and special projects as requested by the General Managers and/or their direct reports. This position interacts closely with all members of the senior leadership team and supports the other administrative team members.
• Proactively manage calendars with the ability to schedule and prioritize meetings, resolve schedule conflicts to maintain efficiency. Exceptional secretarial/Administrative skills
• Answers and Screens telephone calls and mail in a professional and courteous manner.
• Maintain extreme level of confidentiality of all local and international business information this role is exposed to.
• Arrange complex and detailed travel and meeting itineraries for the General Managers and incoming VIPs.
• Manage the timely submittal of Expense Reports Assist with Product Inspection (PI) communications. Set-up/coordinate Management Meetings, coordinate presentations with managers, provide assistance when required.
• Consolidate all presentations for Management and other meetings as needed and ensure compliance with MT guidelines
• Coordinate inputs for monthly GM report
• Maintain/Coordinate & Create SharePoint sites for presentations and dissemination of information.
• Perform administrative tasks as needed for other departments e.g. Legal Counsel.
• Coordinate development of POBS plans and C target documentation and signoffs for GM direct reports and maintain electronic copies of all executed documents
• Point of Contact for assistance with meeting coordination
• Partner with the cleaning service to coordinate maintenance of all conference rooms.
• Maintain and develop relationships with office vendors and Hotel Managers.
• Maintain an organized filing system of paper and electronic documents.
• Responsible for 5S coordination for PIUS-MO.
• Operate as the Restaurant liaison for scheduling requests and issue resolution.
• Ability to plan and coordinate other special projects as assigned.
What You Need to Succeed
• High School diploma or equivalent required, BA in Business administration preferred.
• Executive Admin experience dealing with VP and Director level personnel is preferred.
• Expert level knowledge of MS Office including Word, Excel, PowerPoint and Outlook.
• Must be able to work in a fast-paced, schedule driven environment, and willing and able to work extended hours if necessary
• Must have excellent written and verbal communication skills
• Ability to logically address, analyze, and resolve problems
• Exceptional knowledge of business English, grammar, spelling, math; Modern office practices and procedures, record keeping
• methods, digital asset management, practices and procedures
• Strong organizational and administrative skills with extensive attention to detail.
• Ability to interface with management levels and technical staff
• Ability to work independently and as a member of various teams and committees.
