This role aids in the daily operations of the Theater Department and is responsible for coordinating all Theater Department-related administrative, curricular, communication, and event planning needs.
Primary Duties and Responsibilities:
• Serves as department administrative assistant, supporting departmental team members in meeting organizational goals.
• Serves as first point of contact for Theater Department initiatives such as Broadway Star of the Future Awards, Conservatory-to-Go and Theater workshops.
• Assists the Theater Department Managing Director with the hiring process and payroll for part-time adjunct faculty and guest teaching artists as well as ensuring that all required paperwork is completed accurately and within specified processing deadlines.
• Organizes auditions for the Theater department, including booking space, working with Acceptd and Admissions on registration set up and communicating details to students.
• Maintains purchase card records and receipts and settles all Theater Department charges with Finance.
• Prepares program brochure content and web site content and updates, as requested.
• Gathers data and prepares detailed documents and reports, as needed.
Admissions Related Responsibilities:
• Partners with the Admissions Office to ensure that all student records are up-to-date and accurate before students begin class.
• Teams with the Admissions department to schedule private lessons for the Theater department.
• Oversees class rosters and attendance for Theater instructors.
• Collects attendance records and creates attendance reports as needed.
• Fields incoming calls and emails for the Patel Conservatory Theater Department.
• Assists parents & students with class recommendations, placements, and communications.
• Implements and provides orientation for Theater students, parents, faculty, and staff.
Theater Production Responsibilities:
• Under the supervision of the Theater Managing Director, coordinates all aspects of Broadway Star of the Future Awards event and sees event through from planning to completion.
• Assists with coordination of departmental teaching and production schedules to ensure accuracy and accountability.
• Generates and maintains agreements and contracts for designers, directors, and production-related guest artists.
• Provides expense tracking detail to production for all Theater Department-related production settlements.
Other Responsibilities:
• May provide support to other Education Departments as assigned by Theater Department Managing Director.
• May teach select classes and/or provide production support in area of experience (e.g. choreography, lighting, sound, etc.).
• Acts as substitute teacher for Theater Department as needed.
• Performs other duties as assigned.
Supervisory Responsibilities:
This position does not contain supervisory responsibilities.
Minimum Qualifications (Knowledge, Skills, and Abilities):
• Must have received or be willing to receive the COVID-19 vaccine by date of hire to be considered for employment.
• Excellent administrative and planning skills.
• Strong teamwork and collaboration skills.
• Experience with establishing and maintaining positive relationships with children, parents, theater educators, artists, and administrators.
• Strong communication skills (both verbal and written).
• Strong multitasking and organizational skills.
• Proficient in the use of Microsoft Office applications.
• Availability to work a flexible schedule including nights and weekends when needed.
• Must be willing and available to work on-site(vs. remote work).
Education and Work Experience:
• A Bachelor's degree is preferred; equivalent work experience may be substituted for college degree.
• Minimum of three years administrative experience required.
• Experience working in the performing arts field preferred.
• Experience with event planning, contract generation, scheduling, and record-keeping preferred.
