ORGANIZATIONAL SUMMARY:
The Department of Internal Medicine is the largest and most complex Department in the Morsani College of Medicine with over 26 Divisions, Programs and Centers/Institutes, total human resources in excess of 1,000, and an annual all-source budget in excess of $143,000,000. The Department's ongoing growth includes the restructure of Cardiovascular Sciences from a separate Department to a Division, support of the microbiome initiative, and the execution of clinical, research and education initiatives focused on COVID-19 and emerging infectious diseases. The mission of the Department is to rank among the elite in the nation in the areas of education, research and patient care. The Department provides education and training for a diverse group of medical students, residents, fellows and health personnel from USF and throughout the world. The Department's research activities are numerous and involve both basic and clinical research activities in all subspecialties of Internal Medicine. Our National Institutes of Health (NIH) funding is in excess of $120 million over the past 3 years. Patient care occurs in our affiliated hospitals (including Tampa General Hospital, H Lee Moffitt Cancer Center and Research Institute, James A Haley VA Hospital, Florida Hospital) as well as our state-of-the-art ambulatory health care centers. The Department also provides healthcare support and services via contractual arrangements with many diverse organizations. The US News & World Report recent rankings of our subspecialties include Nephrology at 18, and Gastroenterology at 24 and Primary Care at 67.The Department's faculty represent a group of dedicated physicians that are well-recognized as leaders in all three mission areas.
POSITION SUMMARY:
The Department of Internal Medicine invites applications for a Unit Research Administrator who supports researchers by preparing budget projections, developing materials for compliance analysis, and advising the researchers concerning the review of the proposals by Sponsored Research. The position researches internal and external grant sources and disseminates information on grant opportunities of interest to researchers in a college or department. After awards are made the position provides guidance to researchers on administrative steps such as setting up accounts, hiring staff, reconciling the projects on a regular basis, reviewing and approving invoices and financial reports prepared by Sponsored Research, preparing expenditure transfers and override requests with supporting justification, and reviewing the final reconciliation of the projects prepared by Sponsored Research.
RESPONSIBILITIES:
• Assists Principal Investigators in developing grant applications and implementing the administration of grant award objectives providing technical expertise on university, sponsor and proposal-specific guidelines, coordinating internal and external subcontract paperwork, developing detailed grant budgets and corresponding justifications through the determination and computation of appropriate salary levels, percentages of effort, fringe benefit rates, indirect cost rate, etc., reviewing applications for formatting, compliance and completeness.  Coordinate internal proposal submission and approval, and acting as liaison with faculty and other grant staff, such as Sponsored Research, to ensure proposals are submitted through appropriate mediums and sent to all necessary parties.
• Reporting: This position will be responsible for tracking MCOM awards, proposals, and publications.  This position will prepare research data reports to be shared with faculty, departments, and college leaders.  In addition, this position will coordinate data that is required for the MCOM Research Newsletter.  Furthermore, this position will assist in keeping the Research Directory up-to-date.
• Post-Award: Assists in the set-up and management of research projects by notifying and advising the PI and department of expenditure restrictions, current expenditure procedures, contract amendments, time extensions, etc. Through monthly reconciliation identifies compliance issues and alert PIs and grant personnel of found issues. Works with Sponsored Research to perform continuous monitoring of project. Specifically, monitors and verifies any payroll and non-payroll expenditures, budget transfers, expenditure transfers and regulatory compliance.  Continues to monitor actual budget and expenses to ensure projects are not overspent.  Serves as a liaison with sponsoring agencies, academic administrators, faculty members, PIs, University Payroll, Office of Research, and other areas within the University Controller's office on all sponsored project financial matters and assists with resolving any grant budgetary problems. Provides financial data and budgetary reports to PIs and their staff to support proper financial oversight of the contract terms and grant expenditures.
• Training:  Assist in developing and delivering training programs for current and potential principal investigators and research administration staff on topics such as finding funding, proposal development, general project administration, and compliance regulations.  Position will need to remain current on university, state, federal, and private guidelines and regulations.
• Performs additional duties as required by the Director and Department.
POSITION QUALIFICATIONS:
MINIMUM:
• This position requires a Bachelor's degree and 1 year of professional administrative experience; or a Master's degree. Progressively responsible related experience may substitute for the required education on a year for year basis.
PREFERRED:
• Master's degree in Business Administration, Business Management, Biological Sciences, Public Health, Health Sciences or other directly related field.
• Computerized data management software as well as USF Business Enterprise applications (GEMS, FAST, Finance Mart) experience highly desired.
• Strong background in Research Administration.
