The Center for Teaching and Learning at The University of Tampa has an opening for a Staff Assistant II. This position will provide staff support for all units within the Center for Teaching and Learning.
Responsibilities
•    Provide staff support for all units within the Center for Teaching and Learning
•    Assist the FYE program director and academic program specialist with arranging events and workshops for mentors and faculty each semester, such as the Out-of-Classroom Experiences (OCEs) and mentor and instructor semester preparation workshops. This includes reserving the room and media services, submitting the facilities setup request, and placing the catering order for each event
•    Assist Associate Dean with event planning for faculty orientation and other initiatives. This includes reserving the room and media services, submitting the facilities setup request, and placing the catering order for each event
•    Assist Associate Dean and Director of Faculty Development with arranging events and workshops for a variety of faculty development opportunities. This includes reserving the room and media services, submitting the facilities setup request, and placing the catering order for each event
•    Work with Associate Dean, Director of First-Year Experience and the Academic Program Specialist to update all CTL and FYE documents to meet accessibility requirements
•    Update the FYE Organizational site under the direction of the Academic Program Specialist and the Director of FYE
•    Manage Workday processes and procedures related to hiring student workers for the office
•    Manage Workday processes and procedures related to reviewing and approving all expense requests for the Baccalaureate Experience and Center for Teaching and Learning budget lines
•    Manage Workday processes and procedures related to submitting period activity pay requests for FYE instructors and stipends through internal CTL grants
•     Help the Academic Program Specialist and Director of FYE manage fall, spring and summer BAC schedules in Workday
•    Maintain detailed budget information for the Baccalaureate Experience and the Center for Teaching and Learning to aid program planning and managing expenses
•    Review and approve expense reports and submit period activity pay through Workday for all First-Year Experience program instructors, Learning Enrichment Grant Recipients and Center faculty and staff
•    Responsible for maintaining inventory and purchasing office supplies and forms as well as scheduling repair of office equipment for the Center for Teaching and Learning
•    Assists the Associate Dean with clerical and administrative tasks for the Center for Teaching and Learning including calendar management and monitoring BACC and CTL email accounts
•    Work with the Academic Program Specialist to coordinate the recruitment, selection, and hiring of all 90+ FYE Peer Mentors, Graduate Assistants and student employees
•    Edit, distribute, collect, and organize evaluations of FYE programs using the Class Climate Student‐Perception Survey System
•    Work with the Associate Dean to compile and make catalog edits to the UT Academic Experience
•    Maintain Center for Teaching and Learning, Baccalaureate Experience, and FYE website pages as well as the Center for Teaching and Learning Internal Resources SpartanNet page
•    Provide information to students regarding academic processes for prerequisite overrides, internships, independent studies, overloads, etc.
•    Process study abroad transfer of credit requests
•    Responsible for maintaining all forms, procedures, and policies in the operational manual for the office
•    Continually train and supervise graduate/student assistants in office processes and project work
•    Maintain adequate coverage for the office during University working hours
•    Maintain a working environment that is clean and friendly for colleagues, students, families, and other university visitors
•    Provide stellar customer service to all students, faculty and staff
•    Perform general office duties, such as answering office phones, copying, faxing, printing, and directing visitor traffic in the office
•    Coordinate mailroom pick-up and delivery
•    Performs other duties as they arise
•    Contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures and backgrounds
Qualifications
1.    High School Diploma, Bachelor’s Degree preferred
2.    Minimum of 3 years relevant experience
3.    Proficiency with MS Office required
4.    Proficiency with Class Climate and Blackboard preferred
5.    Experience in event coordination
6.    Ability to manage multiple projects simultaneously
7.    Excellent oral, written, and organizational skills
8.    High level of professionalism and customer service
9.    Strong attention to detail
10.  Knowledge of or the ability to learn quickly The University of Tampa software programs such as Workday and Microsoft Office
11.  Willingness to embrace new technologies and innovative organizational practices

Pay Rate
$16.00 per hour
Work Schedule
Monday through Friday, 8:30 a.m. to 5:00 p.m.
Summer - Monday through Thursday, 8:00 a.m. to 5:30 p.m.
Occasional evenings and weekends may be required
