The Florida Department of Health (DOH) is responsible for the health and safety of all citizens and visitors to the state. As a public health agency, the Florida Department of Health must monitor the health status of Floridians, diagnose, and investigate health problems, and mobilize local communities to address health-related issues. The Florida Department of Health develops policies and plans that support health goals, enforce laws and regulations that protect the health of all residents and visitors, and link people to needed health care services. The Florida Department of Health also provides specialized assistance to pregnant women, infants, and children with special health care needs, regulates health care practitioners, and provides medical disability determinations.
Senior Clerk
This entry level-administrative position is responsible for dealing directly with the public by providing program information, answer client questions, processing new applications, scanning of documents into document management system, and entering data into computer database. In addition, this position serves as a cashier collecting fees, issuing receipts, and producing cash drawer report at the end of the day. Strong communication skills are a must, as this position is required to provide program information, answer client questions, and explain policies. Applicant must be able to pay close attention to detail, provide exemplary customer service, and learn quickly in a fast-paced environment.
Specific Responsibilities include:
• Performs front desk clerical duties which include a combination of processing new applications, including instructions for completion, cashiering, answering telephones, data entry or computer processing, office machine operation, and filing.
• Answers, screens, and routes telephone calls by answering questions, directing calls to appropriate departments, relaying participant concerns, and instructing on the following: program procedures, policies, hours of operation, and rights & obligations.
• Prepares source data for computer entry by compiling and sorting information; establishing entry priorities.
• Processes water sample reports and documents by reviewing data for deficiencies; resolving discrepancies by using standard procedures or obtaining further information for incomplete documents.
• Enters water sample results from source documents into prescribed computer database, files and forms or scans documents into document management systems or databases according to screen format.
• Verifies entered water sample reports data by reviewing, correcting, deleting, or reentering data; gathering data when report information is incomplete; purging files to eliminate duplication of data.
• Secures information by storing completed documents in designated locations.
• Ensuring accurate completion and timely submission of all administrative reports required, including: maintenance of logbooks, records of activities and tasks.
• Responds to requests for information and access relevant files.
• Mails permits and correspondence.
• Prepares meeting minutes and agendas as assigned.

• Knowledge of the methods of data collection.
• Knowledge of the principles and techniques of effective communication.
• Knowledge of f ront desk customer service, heavy call volume, data entry.
• Ability to collect, evaluate and analyze data relating to administrative functions such as accounting, personnel, purchasing or report writing.
• Ability to prepare correspondence and administrative reports.
• Ability to understand and apply applicable rules, regulations, policies and procedures.
• Ability to utilize problem-solving techniques.
• Ability to work independently.
• Ability to plan, organize and coordinate work assignments.

Qualification:
Minimum:
• At least two years of front desk/reception experience
• At least two years of computer experience (e.g., word, access, excel, EHD, oracle, outlook)
• At least two years of experience in an environment of heavy call volume
• At least two years of data entry experience in a fast-paced environment
Preferred:
• At least one year of experience as a cashier or handling a cash drawer
• Strong oral and written communication skills in both English and Spanish
