POSITION SUMMARY:
The primary purpose of this position is to provide day to day administrative coordination, organization and support for the 26 residents in the USF ACGME approved Plastic Surgery residency program.  This position will also assist with human resource and faculty affairs activities in the Department of Plastic Surgery under the direction of the Chief Department Administrator, Chair and program director of the plastic surgery residency program.
SPECIAL REQUIREMENTS:
Incumbents must function autonomously and have experience in working in a highly matrixed organization.  Excellent communication skills are necessary to communicate on regular basis with residents, medical students, and faculty.
RESPONSIBILITIES:
• Daily Management and Strategic Program Development
Oversee all administrative and operational deliverables in support of plastic surgery residency program.  This includes serving as the single senior administrator key liaison to trainees, affiliates and central GME leadership.  Develops policy and procedures, advising trainees and affiliates on policy matters, developing policy and procedure manuals and on-line orientation training resources, preparing reports and presentations for all educational programs and strategic planning and strategic execution of all matters related to resident education. Works effectively on teams to build relationships and assure quality of educational outcomes.
• Budget, Analysis, and Reporting
Oversee development and implementation of annual program budgets, approve all program expenditures (except those made by self), evaluate financial results.  Compile and analyze quantitative and qualitative data for internal and external use, including accreditation reviews.  Active participation in various Departmental projects, including ongoing structure review to strengthen administrative and operational support and rescue resultant costs.
• Human Resource and Faculty Affairs Administration
Collect time sheets, facilitate prior payroll certification to meet enterprise deadlines, assist in job postings, interview, hiring and on-boarding, liaison with central HR regarding full array of HR processes including employee relations, processes faculty and staff GEMS transactions, facilitate annual performance review of employees and faculty, completion of FAR report.
• Compliance and Accreditation
Develop policies and procedures for the maintenance and adherence of trainee records in perpetuity for the Board of Medicine licensing and credentialing of alumni for hospital privileges. Manage the maintenance of electronic record system to include scanning of office records, and archiving appropriate files.
• Knowledge of the ACGME/RRC approved plastic surgery training program - its structure, goals/objectives and operational design is important and this position will be advising and administering policies to all the aforementioned groups in an attempt to coordinate the various groups of students at different hospital sites with clinical preceptors at the hospitals and in the classroom.  Knowledge of policies such as illness, poor performance, unprofessional behavior, etc are all necessary to perform this function well.
POSITION QUALIFICATIONS:
MINIMUM:
• This position requires a Bachelor's Degree and two (2) years experience coordinating medical education programs or accredited residency and/or fellowship programs; and or an equivalent combination of education and relevant experience.
• Education or field of study related to the academic program.
• Education may substitute for experience.
• Experience working in higher education.
PREFERRED:
• Prior experience coordinating training programs
• Standard requirements of large residency program coordinator plus additional administrative functions in HR and Academic Affairs (function as #2 administrator in medium sized department)
