• The Onboarding Specialist will partner with Graduate Recruitment & Program Management (GRPM) and Recruiting Coordinators to successfully onboard new hires and complete employee transfer transactions.  This role requires the ability to meet established service level deadlines, manage multiple tasks simultaneously, communicate effectively, and accurately execute compliance and payroll impacting processes, with the purpose of enhancing the onboarding experience.
• Serve as Subject Matter Expert in areas of on-boarding, new hire processing, internal employee transfers, expense management, employee referrals, work authorization, and related activities;  while supporting multiple geographically dispersed Recruiters,  Recruiting Managers and Hiring Managers
• Complete HR System transactions daily in Applicant Tracking System (Avature) and Human Resource Information System (Workday) to process new and existing employee information, to include, but not limited to: entering new employee data, processing job and payroll changes while accountable for maintaining high data quality
• Interface with internal resources and outside vendors regarding candidate travel and pre-employment requirements
• Respond to a high frequency of various requests from Lateral & Campus Recruiting Partners, Recruiting Coordinators, Hiring Managers as well as new hires on any Onboarding related questions or concerns
• Ensure 100% compliance with all company policies and regulatory guidelines
• Accountable for accurate completion and monitoring completion of the new hire paperwork, the uploading of offer letters/contracts, and confirmation that forms are retained properly and within compliance guidelines
• Partner with Employees, Managers and HR Partners to ensure Work Authorization data is valid though daily monitoring, communication and collection of updated work authorization expiration dates
• Create resume bundles and ad-hoc reports as needed
• Participate in various project initiates for process improvements and  validating the content of documents and retention of into the system of record
• Act as a change agent - identify process gaps, trends, or anomalies, and recommend improvements to existing practices
Qualifications:
• High School Diploma or equivalent required
• Bachelor’s degree preferred or equivalent work experience preferred
• 2-4 years of experience with Human Resources policies & practices is preferred
• Strong verbal/written communication abilities; effective interpersonal skills; strong attention to detail
• Strong sense of urgency; ability to execute quickly and efficiently.
• Highly organized with strong follow up skills and the ability to multi-task.
• Previous experience in a fast-paced, client-centric service setting with proven performance in a high volume environment strongly preferred
• Effective problem solving, process improvement and troubleshooting skills
• Able to think critically to solve complex, time-sensitive inquiries and data issues.
• Team oriented with the ability to flex in support of timelines, and deliverables
• Ability to maintain confidentiality and appropriately handle sensitive information with tact and discretion.
• Experience with Workday a plus
• Advanced skills with Applicant Tracking Systems (Avature) a plus
• Proficient in Microsoft office and the internet
• Strong analytical and problem solving skills
• Utilize business acumen to recognize issues, problems and opportunities and recommend actions as needed
