JOB SUMMARY
A Training Support Specialist performs specialized administrative work in support of the design, development, promotion, scheduling, delivery and evaluation of internal or external learning and development programs. This position has responsibility for administrative coordination of all aspects of assigned programs and events, including facilities, registration, preparation and production of materials, recordkeeping and program evaluation.
NATURE OF WORK
This is specialized support work for program administration that is typically performed under the general supervision of a Learning and Development Facilitator, Program Planner/Analyst, Assistant Program Director, Assistant Director, or higher level administrator. The Training Support Specialist performs a wide range of office, technical, and operational duties for assigned training programs, workshops, courses and seminars.
To fulfill the job requirements, employees assigned to this class title must be able to manage registration or scheduling databases and generate queries and standard reports to produce data for analysis. They should have knowledge of the programs, services and registration requirements, as they will serve as the first line of contact for interested participants. This will require professional communication and organizational skills. The Training Support Specialist will also be responsible for the production of training materials and publicity for assigned programs. These duties require proficiency in the use of word processing, spreadsheet, and presentation software, along with ability to identify and use appropriate graphics, publishing, web, or e-learning tools as required. This is a non-exempt position requiring comparable skill level to an Administrative Specialist. This position is distinguished from a Learning and Development Facilitator in that incumbents do not design or deliver the full program content, but are responsible for development, production and distribution of materials, and may also assist in facilitation and facilitate sessions that are not highly trainer dependent.
EXAMPLE OF DUTIES
Establish and manage program scheduling, communication, and registration. Maintain database for registration and participant recordkeeping, producing class lists and other reports as needed.
Serve as point of contact for program registration and for general inquiries regarding program services and registration requirements.
Complete administrative coordination of scheduling meeting rooms, facilitators and audio visual equipment. This will include arranging travel, meeting space and accommodation meals for offsite training.
Design, develop, and coordinate production of brochures, flyers, catalogs, and electronic/web-based marketing, publicity, and promotional materials.
Plan, develop, and implement various special projects as assigned; plans, coordinates, and facilitate special events, programs, and/or activities.
Research, collect, and analyze program evaluation data; prepare reports and statistical information on program participation, feedback, and results.
Design and develop training templates for programs and workshops; assist instructors in developing and formatting materials.
Provide technical assistance in the design and development of publications and reports through formatting, graphic design, and editing.
Designs, develops, and maintains web-based learning resources.
Works with subject matter experts to develop outlines for new courses and/or modifications to existing courses.
Performs other operational and administrative support as assigned and may serve as back up for general office assistance.
MINIMAL QUALIFICATIONS/EDUCATION/EXPERIENCE
This position requires a high school diploma or equivalent, with four years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
PREFERRED QUALIFICATIONS
Bachelor's degree or a technology certification, such as a certification in assistive technology; experience in the use of assistive technology for students with disabilities; experience in working with students with disabilities in an education setting; experience in operating an assistive technology loan library.
Preference given to candidates with knowledge and experience managing assistive technologies and instructional technologies.  Experience in operating a loan library and working with patrons.  Experience in managing public outreach programs.  Experience with virtual training environments, digital communications, database system, and immersive technologies.  Experience in subject matter areas related to universal education and universal instruction in a desired qualifications.
