Openings one Full-Time Staff Administrator - 8am-4:30pm, Monday-Friday.
General Summary
The Staff Administrator communicates with the staff, sisters, and the public and is in charge of ordering supplies for the health care facility. The Staff Administrator helps maintain a safe, positive and social environment for the residents. The Staff Administrator coordinates staff schedule and payroll.
Principal Duties and Responsibilities:
• Ensures the maintenance of current and appropriate Medicare, insurance and health-care surrogate records.
• Acts within the approved department fiscal budget.
• Coordinates with Government Programs and Benefits Coordinator on the purchase of durable goods.
• Maintains the appearance of the nurse’s station.
• Organizes supplies and keeps up-to-date inventory and records, including maintaining data in the inventory tracking software program and maintaining receipts of all purchases.
• Orders needed supplies in a cost-effective manner; properly stores all equipment and supplies.
• Reviews incoming order forms for proper coding, quantities, and authorized approvals; inspects and verifies supplies received against invoice and packing slip; initiates requests for vendor corrections.
• Assist with department billing process by coding and inserting invoices into procurement.
• Tracks measurables as assigned by the Director of Nursing (DON).
• Reviews statements from pharmacy vendor according to defined process.
• Organizes and destroys medical records as assigned in accordance with the record retention policy.
• Maintains point system for emergency staffing draft.
• Manages work schedule.
• Responsible for bi-weekly payroll for department.
• Monitors needs and maintenance of copier.
• Assists with organization of sisters’ rooms and moving residents as needed.
• Answer and direct calls to appropriate staff and/or sisters.
• Maintain courteous and professional communication with residents, visitors, staff members and customers.
• Assists in carrying out the philosophy and policies of the Ursuline Sisters of Mount Saint Joseph regarding health care for the sisters.
• Assists in planning and developing emergency/disaster response and coordination.
• Motivate a diverse workforce.
• Experienced in a healthcare setting and medical terminology in a geriatric healthcare setting.
• Project a professional image and provide outstanding customer service to our sisters, staff, vendors and community.

• Communicates with sisters’ surrogates and family members as needed.
• Maintains confidentiality of sisters’ private healthcare information.
• Coordinates with GRITS for sisters’ travel to off-site appointments.
• Organizes and destroys medical records as assigned.
• Assist with coverage of floor as a nurse aid when on call.
• Accepts on-call responsibilities as per on-call schedule, including working days, nights and weekends if/when needed
Education, Training and/or Experience:
Bachelor's degree in Business preferred, Associate's degree plus experience considered. Minimum one year of experience in like field/setting.
