Full Job Description Office Team Member
Title: Office Team Member
Department(s): Office Administration/ Clerical Duties / Financial Operations
Reports to: Financial Operations Manager
Summary of essential job functions
Duties include, but not limited to:
• Training with all Departments: Accounts Receivable, Accounts Payable, Purchasing, Human Resources, and Financial Account Management
• Assist Financial Operations Manager with Financial Reporting
• Data Entry
• Supply/Inventory Management
• Put Purchase Order’s with checks in the order they are on the check. Organize checks in alphabetical order for owner to review and sign.
• Assist staff with administrative duties as requested.
• Filing all paperwork and keeping files properly maintained and organized.
• Special Projects as needed by Department Managers
• Scanning important documents into QuickBooks to include: Insurance, W9, Contracts, etc.
• Creating new vendors in QuickBooks and in our internal software and updating insurance dates in QuickBooks.
• Perform general office clerical duties to include but limited to: photocopying, faxing, mailing, and filing.
• Establishing relationships with supers, subcontractors, builders, etc.
• Running errands such as picking up checks, DMV, post office, etc.
• Any other projects, tasks as required.
