HR COORDINATOR OCE Administrative & Clerical Support Hours: M-F 8-5 (some flexibility) Day Shift - Full Time Paygrade/Wages/Salary Info: NE N21 - 18.7000 - 23.5000
Position Highlights: The HR Coordinator for OCE is responsible to coordinate activities and communication between Human Resources (HR) and the Office of Clinical Education (OCE). In this capacity, the person will handle prescreening and offboarding tasks for OCE while acting as a liaison between stakeholder departments. A team member in this role will review, maintain, and#ensure adherence to applicable affiliation agreements and will coordinate outreach to key stakeholders both within and external to Moffitt. The HR Coordinator for OCE will also be able to coordinate scheduling and capacity for clinical trainees in various departments.# # The Ideal Candidate: Knowledge of applicable compliance law and regulations. Works independently with minimal assistance. Must be self-motivated and detail-oriented. Demonstrates initiative and problem-solving skills. Must possess good customer service skills and ability to interact with various people groups. Must be able to use sound judgment and discretion when dealing with confidential issues. Must possess excellent verbal and written communication skills. Preferred: Five years of progressive administrative experience in Human Resources or a Graduate Medical Education Office. One year of experience using Human Resources applications and software, such as an ERP and Applicant Tracking Software. Preferred: Proficiency in Spanish. # Responsibilities: Initiates new Affiliation Agreements or amendments to current agreements when new institutions or programs are requested. Follows up with necessary parties (internal and external) to ensure any Agreement or Amendment receives all signatures and is updated in the Agreement Management System. Confirms that Certificates of Insurance (COIs) are appropriate upon initial Affiliation Agreement and are maintained for the life of the agreement. Keeps HR Onboarding team members alert if COIs are not up-to date to prevent trainees from those institutions from onboarding. Terminates agreements as requested by drafting a letter that is reviewed and signed by appropriate Moffitt executive leader. Works with faculty, education coordinators, academic institutions and other contacts to develop roster of trainees and schedule for trainee experiences. Gains clarity and shares information about trainee goals # objectives, training requirements, curricula, start and end dates and other information to ensure the trainee experience meets or exceeds expectations. Responsible for all tasks related to required screening and onboarding, including verification of screenings, clarifying applicable policies, ensuring compliance with initial and ongoing education and health screening requirements, and other related activities. Ensures adherence to HR compliance programs, including, but not limited to TJC standards for HR, OIG/GSA audits, and ADA documentation, where applicable. Serves as the point of contact for internal departments and their trainees during their rotation and advises/escalates any compliance or performance issues as appropriate. Sets reasonable expectations for start dates and informs interested parties. Works closely with trainees to ensure timely communication of and completion of requirements. Ensures continuous maintenance of all required credentials, including but not limited to BLS and license. Partners with internal stakeholders (faculty, education coordinators, department personnel) to ensure#understanding of the type/level of access that may be required by the trainee so that IT is appropriately and timely informed when screening requirements are met. Creates and maintains IT network access matrices to ensure trainees are given appropriate network access based on their role. Develops and maintains rosters of trainees. Pulls reports and supplies data to customers as required. Assists with completion of evaluations and training verifications as required. Responsible for all tasks related to trainee termination and off boarding once the training experience is complete. This includes, but is not limited to, completing a Moffitt Outprocessing Checklist, collecting Moffitt property, capturing forwarding address information, ensuring IT accounts are disabled, and other tasks related to terminating the trainee#s access to Moffitt physical locations and computer systems. Acts as the first point of contact for HR and OCE when questions arise about NEMP who may become employed Team Members and works with IT to make certain accesses to systems is maintained appropriately. Accepts or initiates other duties as needs arise and carries out tasks as necessary. ###################### Credentials and Qualifications: # High School Diploma/GED required. # Minimum of 3 years of progressive administrative experience in Human Resources or academic institutions. Proficient in Microsoft Office products such as Outlook, Word, Excel, and Power Point.
