Full Job Description POSITION: Administrative Assistant/Receptionist
STATUS: Nonexempt FULL-TIME
REPORTS TO: The Principal of Topaz Realty LLC
JOB SUMMARY:
Under the supervision of the Principal of Topaz Realty LLC, the Administrative Assistant performs administrative duties as instructed. Basic responsibilities include: Maintains real estate transaction files, produces monthly Income/Expense reports, and manages incoming telephone calls and greets and directs customers and visitors.
RESPONSIBILITIES:
• Receives and routes incoming telephone calls to appropriate business associates/agents.
• Greets and directs customers, business affiliates, and visitors.
• Oversees the Principal’s e-mail box and maintains it in an orderly manner and, if needed, prepares correspondence on behalf of the Principal.
• Files and maintains real estate transaction documentation.
• Process payments to vendors following the Principal’s approval.
• Keeps record of revenue and expenses and produces Income/Expense monthly reports using Excel format.
• Liaison to the Accounting Agency, the School of Real Estate, and the Marketing Consultant.
• Retains an activity log of all real estate transactions and prepares monthly log reports.
• Reports to the state’s Department of Business and Professional Regulations (DBPR) on new business associates/agents by entering agent’s information in DBPR’s database.
• Creates files for newly contracted business associates/agents to include a contractual agreement for Principal’s and new agent’s signatures.
• Enters contact information on new business associates/agents into Company’s database and informs Marketing Consultant.
• Maintains and orders office supplies.
• Performs such other duties as may be assigned by the Principal.
INTERNAL RELATIONSHIPS
Reports to the company’s Principal. Has frequent contact with company real estate agents, the Accounting Agency, the Marketing Consultant, and the School of Real Estate.
EXTERNAL RELATIONSHIPS
Has frequent contact by telephone and in person with public, industry-related affiliates, vendors, suppliers.
WORK CONDITIONS
Fast paced.
REQUIREMENTS
High school diploma or equivalent with at least two (2) years of office or similar experience. Must be bilingual (English/Spanish) have excellent people skills and thrive in a fast pace environment. Proficiency in MS Word and Excel are required. Experience and/or knowledge of Accounting Principles is a plus. Good speaking voice, positive demeanor, able to communicate courteously with business associates and the public. Able to shift rapidly between numerous unrelated duties and work quickly and accurately on tasks requiring attention to detail. Position requires, maturity, good judgment, and high degree of personal organization. Must be able to lift 25 lbs.
