Main Duties & Responsibilities
Receptionist & Administrative Assistant.
Maintain a Friendly and positive attitude both in person and on the phone.
Greet customers and visitors and direct them accordingly.
Answer phones promptly (by the third ring).
Coordinate all phone functions: maintenance, repairs etc.
Take messages and route them to their destination.
Alert all departments of incoming fax messages.
Distribute mail to all departments, outgoing and incoming three times daily.
Fax machine: Maintain paper supply, coordinate repairs as needed.
Copier Machine: Maintain paper supply, coordinate repairs as needed.
Order all office supplies as needed.
Distribute all purchase orders (PO’s) and statements to the appropriate departments.
Assist sales coordinators with filing, e-mail and other sales related duties.
Train with sales coordinators daily.
Maintain monthly sales report for the Thank you letters.
Daily scanning of sales files into the system.
Assist other department managers and branches as requested.
Make necessary hotel and travel arrangements for division and vendor personnel.
Human Resources liaison for the branch.

Qualifications
Proficient with using computer software: Windows, MS Word, Excel & Power Point.
Must be able to comprehend, speak and write the English language.
Must possess good interpersonal and communication skills.
Customer First (Positive) attitude.
Develop proficiency in iQuote, Lotus Notes and CRM
High School Diploma.
