Full Job Description POSITION SUMMARY:
· Is accountable for the delivery of consistently high quality effective and efficient entry of information into the computer system.
· Functions under the supervision of Clinic Manager.
· Is accountable for the effective and efficient operation of clinic patient scheduling ensuring that the objectives of Caldwell Medical Associates and the organization are being met.
· Ensures appropriate organizational practices are in use.
· Promotes good public relations through contacts with patients, practitioners, visitors, employees, peers and the public at large.
· Maintains confidentiality of patient information adheres to HIPPA policy.
POSITION RESPONSIBILITIES
ESSENTIAL FUNCTIONS:
1. Responsible for scheduling all CMA clinic appointments with physician offices, clinics and patients.
2. Excellent customer service skills needed to interact with physicians, physician office staff and patient.
3. Works with each individual clinic and other health care facilities to initially set up clinic appointments and maintain the process as streamlined and efficient as possible.
4. Assists the physicians and their staff with scheduling patients for procedures, giving appropriate preps and ensures time scheduled for procedure is adequate.
5. Enters changes to scheduled appointments called in from physician offices or patients into scheduling system. Always documents reasons for changing appointments and their status. Notifies the affected clinic office, if a cancellation is on the day of the clinic appointment.
6. Ability to assume responsibility and exercise scheduling authority with clinic and administrative staff.
7. Work in conjunction with the IT Department to help maintain the clinic scheduling module.
8. Assist with set-up of new procedures and times as the Clinic Scheduler position expands.
9. Assists in maintaining established departmental policies, procedures and objectives.
10. Assists in maintaining adequate and effective communication between the CMA Clinic locations for the purpose of problem solving.
11. Interacts with others (on the phone or in person) in a positive, professional and appropriate manner.
12. Works cooperatively with others. Has respect for and an understanding of the contributions of all team members.
13. Protects patient confidentiality by promoting appropriate staff communication practices.
14. Performs other duties as assigned.
POSITION QUALIFICATIONS
MINIMUM EDUCATION
High School Graduate or GED
PREFERRED EXPERIENCE
Associate Degree, two-year’s experience in a physician office setting with scheduling responsibilities or in a health care environment with admitting background
ENVIRONMENTAL CONDITIONS
Works in the CMA Front Office.
