Job Title: Manager, Facilities and Workplace Services
Job Function :                   Corporate Workplace Services
Location : Tampa, FL
Position Summary: Responsible for managing Workplace Services and Facilities operations across multiple corporate office locations. This position is based in Tampa, FL and includes responsibilities over local facilities as well as occasional one-off support of other US locations.  The Facilities Manager will direct and coordinate all workplace services activities and processes, ensuring our offices operate efficiently and standards are upheld.  This position has responsibilities across a multitude of support functions, including but not limited to: Staff management and development, facilities maintenance and construction projects, workplace services and office administration, physical security program, compliance and audit programs, business continuity and emergency preparedness, vendor management, financial and accounting.  We are seeking a dynamic hands-on Manager with the ability to lead, partner and solve issues to deliver high-quality and efficient customer service in a fast-paced, diverse and growing environment.
Essential Duties and Responsibilities : Additional duties may be assigned to meet business needs.
• Ensure all locations are properly operated and maintained, with a focus on building and occupant safety, workplace services and office administration deliverables, financial performance, location function/esthetics and continued readiness.
• Development, implementation, enforcement of policies and procedures related to business continuity, facilities services, building safety, physical security, office operations.
• Managing appropriate staffing levels and providing managerial support to staff at assigned locations. Perform consistent and frequent leadership, coaching, development, performance management and payroll processing to a team of staff directly and virtually.
• Responsible for Physical Security operations at assigned locations, partnering directly with vendors and Corporate Security to ensure program goals are and coverage needs are met.
• Ensure either directly or through delegation that all requests for service are resolved in a timely and satisfactory manner, with a goal toward exceeding customer expectations.
• Establish and maintain relationships with various internal working groups and internal departmental contacts.
• Responsible for new account allocation including coordination with IT, Real Estate, Finance, Security, and required vendor engagement.
• Implementation and oversight of vendor services via creation of SOWs and service contracts for workplace services and facilities vendors: Janitorial, security, first aid, office supplies, furniture-fixtures-equipment, general repair and maintenance, etc.
• Coordination of internal and external audit processes, certifications, and compliance.
• Provide continual evaluation of processes and procedures. Responsible for suggesting methods to improve area operations, efficiencies and service to internal clients.
• Support of on-boarding process for employees, such as seat assignments, creating access and security badges and coordination of desk set-up.
• Management of Move/Add/Change and space management operations for assigned locations.
• Ability to respond for any afterhours emergencies required for the facility. Must assess emergency situations, notify management and determine best course of action.
Qualifications:
Basic qualifications for this position include:
• Bachelors Degree required
• Minimum 3-5 years experience managing workplace services and office facilities teams across multiple locations, or single locations having >/= 1,500 seated staff.
• Credentials such as (IFMA) Facilities Management Professional or Certified Facility Manager credential along with additional relevant certifications may be considered in lieu of degree.
• Demonstration of progressive management experience with ability to manage and develop teams of staff directly and remotely.
• Fluent in English and Spanish both verbally and written
• Ability to demonstrate and act upon a thorough understanding of facilities and workplace services operations within a large corporate office environment.
• Ability to handle multiple demands to set priorities, and have a high level of attention to detail and complete high quality work in a timely manner.
• Strong problem-solving skills in dealing with ambiguity in a fast-paced setting required.
• Past experience/relationships working with multiple property management firms, building inspectors and regulatory auditors, facilities and maintenance vendors.
• Experience with construction and decommission projects, office build-outs, remodels, etc.
• Knowledge of security systems, access control and camera systems
• Strategic Thinker - must have a high level of interpersonal skills in order to manage and deliver results for diverse teams and internal functional areas.   Position continually requires demonstrated poise, tact and diplomacy.
• Excellent verbal and written communication skills are required.  Must have a good command of the English language, oral and written.
• Ability to influence, negotiate and partner with internal clients and external vendors.
• Must be proficient in Microsoft Office, extensive Excel, SharePoint, accounting/purchasing platforms and web based applications.
• To be successful in this position, the incumbent needs to be punctual, have regular in-office attendance, and be available and visible to our clients.  This is not a telecommuting position.
• Ability to travel across locations, potential 25% domestic travel to company locations sites where required.
Physical Demands :  While performing the duties of this job, the employee is frequently required to stand; walk prolonged distances; lift; reach with hands and arms; climb or balance; stoop, kneel and crouch.  The employee is occasionally required to sit.  The employee must frequently lift and/or move up to 50 pounds.
