The Department of Biological Sciences is one of 18 academic departments in the College of Arts and Sciences.

Position Overview
Coordinate travel for the department, assisting faculty, staff and students with travel arrangements and travel reimbursements. Provide support for coordinating textbook purchases. Coordinate conference room usage. Act as backup Records Management Representative for the Department. Update department website, and provide support in the area of purchasing. Provide front desk support for the Chair’s office as needed.
Minimum Qualifications
High school diploma and three years of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.
Knowledge, Skills and Abilities
• Advanced customer service skills.
• Knowledge of Microsoft Office.
• Knowledge of accounting/budgeting procedures.
• Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
• Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
• Ability to conceptualize, plan and organize multiple programs and assignments effectively.
• Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
• Skill in developing and maintaining good working relationships.
• Knowledge of policies, practices, procedures and terminology of assigned function.
Preferred Qualifications
The preferred candidate will possess the following additional qualifications:
• Knowledge of or experience with Epro and EIS /People Soft.
• Knowledge of or experience with Travel Form Processing in the UNT System including the utilization of Concur.
• Experience working in an office environment.

Process all travel including supplemental requests, request for approval to travel, travel advances, state and local vouchers and reimbursements for many faculty, staff and students in the department.

Book airline tickets, lodging and car/other rentals as needed for faculty, staff, students and guest speakers (excluding seminar series speakers).
o
Maintain computerized travel spreadsheet of departmental travel.
o
Provide information and guidence as to travel options, in respect to University and state travel rules.
o
Communicate with faculty regarding status of travel arrangements.
o
Work with budget officer to maintian accurate account balances including travel costs.
o
Keep website updated with accurate and timely information.
o
Maintain calendar of conference room usage for reference, updating as needed. Assist with booking conference and outside rooms.
o
Assist faculty with textbook orders and assignment.
o
Keep informed as to best practices and proper methods for Records Retention.
o
Serve as departmental keeper for University policies relating to Records retention, including schedules and final respositories.
o
Provide front desk support to the Chair’s office.
