COMPLIANCE SUPPORT SPECIALIST Administrative & Clerical Support Hours: M-F 8:30-5 Day Shift - Full Time Paygrade/Wages/Salary Info: NE N22 - 19.6500 - 24.6500
Compliance Support Specialist # Position Highlights: The Compliance Support Specialist#will work to directly support the Chief Compliance Officer and the Compliance team, effectively manage projects, effectuate continual communication between internal and external stakeholders and support the compliance team members in fulfilling the responsibilities of the Compliance department. The Compliance Support Specialist will work with the Chief Compliance Officer and the compliance team to proactively facilitate the smooth flow of the business activities using customer service orientation, professionalism, confidentiality, superior organizational skills, excellent coordination and management skills, and a high level of attention to detail. This position will also be tasked a high level of coordination of Compliance department activities, including high profile projects and audits. Many activities involve close coordination with both internal and external stakeholders, including board members and executive staff of the organization. This position will manage and complete compliance projects, facilitate document management, and independently manage department expense tracking. Additional duties include maintaining highly confidential Compliance department documentation (including but not limited to maintaining documentation in Compliance 360, e-filing, printing, quality control, expense management and tracking, as well as limited traditional administrative duties as needed. # The Ideal Candidate Excellent organization, problem-solving, and computer skills. Needs to have positive attitude at all times, attention to detail, strong work ethic and ability to maintain confidentiality. # Language Skills: Ability to read, analyze, and interpret general business documents, periodicals, professional journals and technical procedures. Ability to effectively present information and respond to questions from board members, executives, managers, faculty and leadership. # Computer Skills: To perform this job successfully, an individual should have excellent knowledge of the Internet and Microsoft Excel, Word, PowerPoint, Visio, and Outlook software. # #Knowledge of Compliance 360 application preferred. # #Knowledge of Meditract application preferred. # Responsibilities: Project Management, Coordination, and auditing Prepare timelines and project plans for special projects; coordinating activity to ensure timely completion of special projects. Focus on deadlines and communicate pending deadlines and/or solutions for meeting or exceeding these deadlines to the team accordingly. Includes coordinating meetings of large groups of internal and external stakeholders. Assists with compliance audits and special projects as requested by the Compliance Officer or designee. # Expense Tracking/Budgeting Process and communicate all compliance invoices to appropriate parties. Track compliance department expenses. Consolidate monthly expense detail reports with internal tracking spreadsheets. Resolve discrepancies. Assist Compliance Officer and Director with preparation of department forecasts. # Document Management Prepares, distributes, and manages all documents for executive and board-level compliance committee meetings. Assist Compliance office with document management (filing documents under appropriate folders, pulling documents from files upon request, updating agendas, upload documents to Compliance360, Meditract or other document management systems), enter edits from various team member into compliance documents, formatting documents and presentations. Responsible for management of highly confidential documents. # Administrative Support Works with Compliance Coordinator and Management Assistant to meet the routine office needs of the Compliance department, such as scheduling appointments, providing information to callers, composing and typing routine correspondence, reading and routing incoming mail and filing correspondence and documents in Compliance filing system, ensuring proper indexing and filing of original documents. # Maintain Compliance Department Intranet Pages and Learning Center Responsible for maintaining compliance department intranet pages, including designing, and updating content in a timely manner. Responsible for uploading courses and content to the Corporate Compliance domain of the Learning Management Center. # #Credentials and Qualifications: High School Diploma/GED. 3 years of experience in compliance, legal or related field as an assistant or an administrative support role. # Preferred but not required: Bachelor#s Degree #
