Description As the Supervisory Program Specialist, located in the Tampa Call Center, providing administration and coordination of the Appointment Management System which includes access to Veterans Care, Management of the Electronic Wait List (EWL), and Consult processing. You assists in access and appointment management program oversight through policy and procedure development, audit review and evaluation. [ "The Supervisory Program Specialist serves as the leader and manager for the Tampa centralized call center. This call center will consist of approximately 30 FTE and will handle incoming phone calls and appointment scheduling for all areas of the Tampa VA, with the goal of providing first call resolution. This call center is a new program to the Tampa VA so the incumbent will be responsible for designing and implementing a number of new procedures to ensure this call center operates effectively. The incumbent acts as a multidisciplinary team leader in formulating strategic objectives for the service and the healthcare system to meet the ever-changing objectives. He/she serves as the subject matter expert to assist in identifying and resolving problems associated with Health Administration scheduling applications through innovative problem solving and providing an overall knowledge of the processes and procedures required of this system. The positions major duties include, but are not limited to: Performing administrative data retrieval related to the call center, individual staff level performance, and scheduling metrics. Develops methods to assess customer satisfaction with phone service throughout the Tampa VA. Ensures goals related to speed to answer, abandonment rates and other call center metrics are met. Assisting other services in the medical center to achieve workload studies by providing pertinent information. Responsibility in coordinating coverage, staffing, training, as well as implementation of new initiatives and processes. Supporting the management of clinic access and intake process, including patient information management, insurance scanning. Devising new techniques for improvement, monitoring, reporting, and training. Working closely with various hospital services to develop and implement strategies that build efficiency and effectiveness into the intake and access management processes. Conducting investigations, researching and/or analyzing problems, issues, or program requirements and recommending implementation strategies and reports. Facilitating a customer-focused environment, building teamwork, and promoting performance improvement for overall quality, efficiency, and effectiveness of programs. Performs other duties as assigned.
