EXECUTIVE ASSISTANT CEO OFFICE Administrative & Clerical Support Hours: 8:30am - 5:00pm Day Shift - Full Time Paygrade/Wages/Salary Info: NE N27 - 25.0500 - 31.4500
Position Highlights: This position is responsible for independently managing a wide variety of administrative support functions to the CEO and Executive Assistant to CEO The Ideal Candidate: Exceptional customer service and communication skills Strong command of English grammar, spelling, and punctuation Strong proofreading skills Familiarity with office organization protocols and procedures Discretion and judgment in handling confidential information Proficiency with advanced Microsoft Office applications # including Word, Excel, PowerPoint#and Outlook Responsibilities: Support to the CEO and Executive Assistant to CEO as needed Provides backup administrative support to the CEO and in the absence of the Executive Assistant to CEO and Executive Assistant. Provides support for accounting needs of the CEO, expense reports, check requests, purchase orders, etc. Works in tandem with rest of CEO office team to coordinate requests and provide follow up to ensure payment Provides support for the CEO#s domestic and international travel # including transportation, lodging, preparation of itineraries, arranging secondary meetings to coincide with travel, and assembly of supporting materials Regularly edits and updates the CEO#s curriculum vitae (CV) with new manuscripts as they progress through the submission, approval, and publication process; new presentations, committee appointments; association memberships, grant status information, etc. Frequently serves as the initial point of contact in the CEO#s office, including triaging incoming phone calls, greeting visitors, patient concern walk-ins, and correspondence received by the CEO office. Works with Patient Relations and other offices to follow up in a timely manner. Triages and assists with needs of Executive Referral patients. Maintains files in support of the CEO. Orders CEO#s office supplies and general stores supplies. Frequently coordinates special projects, such as special dinners and meetings, with caterers ##and restaurants located locally and out of town Frequently conducts background research for the CEO on guests to the CEO#s office and on prospective members and donors. Assists with a variety of additional duties as required. Credentials and Qualifications: High School Diploma/GED Minimum of five (5) years- experience providing administrative/secretarial/office coordination to executive level officials Preferred Associates Degree # Business administration or other related discipline Administrative Support in a health care or academic medical environment Proficiency with graphics software. Knowledge of Moffitt#s policies and practices # including human resources and purchasing.
