The University of South Florida’s Division of Human Resources is seeking a highly organized individual to join the team as Human Resources Office Administrator. You will provide sophisticated administrative support to the Vice President of Human Resources, and dynamic oversight of the division. You will serve a critical role in the success of the VPHR , and the multi-year transformation of the university’s Human Resources function. Your work will impact the 15,000 employees throughout the University of South Florida.
We are seeking someone with exceptional organizational skills, impeccable attention to detail, superb communication skills, and is political savvy. You must have professional discretion, while effectively relating to people at all levels of the organization.
The Team
DHR provides university-wide strategic development of policies, procedures, and programs for the core HR functions, which includes the main campus in Tampa, USF Health and the branch campuses in St. Petersburg, and Sarasota-Manatee. DHR supports the goals, vision, and mission of the University of South Florida, with a focus on delivering valuable, innovative, and compliant services that attract, develop, reward, and retain highly qualified individuals to create a diverse and talented workforce. Services and programs provided by DHR include: Benefits; Classification & Compensation; Employee Relations; Labor Relations; Talent Acquisition; Strategic Planning; Staff Recognition; Compliance; HR Information Systems; and Learning and Talent Development.
DHR has embarked on a multi-year transformation initiative to provide a Human Resources function that operates efficiently and effectively, leverages up-to-date tools, and embraces technology to create greater value-add services and programs for the USF community.
Responsibilities:
• Maintain the VPHR calendar, to include preparing materials for meetings.
• Support the negotiations of five unions by taking accurate notes during meetings and negotiations, and distributes materials to USF's negotiating team.
• Assist the VPHR with the administrative management of DHR.
• Works in tandem with the VPHR to provide accurate and timely information to USF community.
• Draft policies, procedures, announcements and other DHR communications.
• May supervise staff and/or student assistants.
QUALIFICATIONS (Education & Experience):
Minimum Qualifications:
This position requires a high school diploma or equivalent, with at least five years of experience in an office or administrative support position or a Bachelor's degree and 3 years of related experience. Additional education may not be substituted for this experience requirement.
Preferred Qualifications:
Four or more consecutive years of professional executive assistant experience supporting executive level leadership. Advanced proficiency with Microsoft Office, Outlook, Word, Excel, PowerPoint and Teams. Experience in a large higher education environment and knowledge of university protocol highly preferred. Human Resource experience a plus.
Special Skills:
The successful candidate must be initiative, demonstrate the ability to exhibit sound judgment, and the ability to work independently. You must thrive in a multi-tasking and fast paced environment .
