Description
The Executive Assistant to the CEO/CFO provides a broad variety of administrative support across corporate and personal objectives. A successful candidate will be a driven, systematic and process-oriented thinker with impeccable intuition. The ideal individual will have the ability to exercise good judgment in a variety of situations, be proactive and detail oriented, have excellent communication skills, have exemplary organizational skills, and the ability to maintain a realistic balance among multiple priorities. The EA to the CEO/CFO provides a bridge for smooth communication between the executive office and internal departments. This role amplifies the Office of the CEO/CFO, and a successful candidate will assist them in all aspects related to the organization, including the coordination of personal obligations.
Requirements
Duties & Responsibilities
•   Coordinate complex meetings, agendas, and materials for CEO/CFO
•   Create, edit, and proofread correspondence, meeting agendas, meeting minutes, presentations, reports, documents, and special projects for both internal and external audiences
•   Relationship management for CEO/CFO contacts through CRM
•   Manage company documents and database
•   Ensure immaculate record-keeping and organization of files
•   Schedule and support all  travel
•   Generate appropriate reports as needed for analysis by Senior leadership
•   Track incoming emails and other correspondence
•   Coordinate with accounting team to generate and track expense reports
•   Conduct industry research as requested per project
•   Assist with events as representative of the CEO/CFO
•   Provide marketing support as needed; client gifts, assisting with mailings, email campaigns, etc.
•   Manage family residences, travel, and appointments, as requested
•   Coordinate CEO/CFO’s personal relationships; driver, accounting firm, housekeeper, doctors, etc.
Education & Experience Requirements
•   Minimum 3 to 5 years experience as an corporate Executive Assistant
•   Bachelor's degree or other advanced degree
•   Advanced MS Office skills/ technology skills eg. g suite, CRMs and social media platforms
•   Excellent written and oral communication
•   Record of success in a volatile or high-stress environment
•   Adept in operating with the utmost discretion and confidentiality
•   Strong attention to detail
•   Meticulous record keeping and organization
•   Prompt and punctual with a strong work ethic.
•   Flexibility in scheduling and willingness to work after business hours as needed
•   Comfortable exercising quick and accurate judgement in a high-stakes environment
•   Ability to analyze complex situations thoroughly in order to anticipate problems before they arise
•   Peoples person with positive attitude and personality
PLEASE NOTE: this position has primary in person responsibilities in Tampa, FL with occasional travel. We welcome applicants from all locations, however the company is not responsible for any relocation expenses incurred for this role.
