Administrative Assistant I
This is a complex and highly responsible, full time position, providing administrative and technical support to the Health Promotion and Education team members. Incumbent should demonstrate attention to detail, respect for confidentiality, strong oral and verbal communication skills and proficiency in Microsoft Word, Outlook and Excel. Must be comfortable managing multiple computer-based systems. Strong written and verbal communication skills required for internal and external communication, and document/material creation and review. Position requires occasional local travel.
Responsibilities include:
• Maintains data on physician referrals and provides analysis for quality improvement projects
• Manages client calls and patient referrals from medical providers
• Networks with medical providers to ensure physicians have adequate quantities of referral forms
• Maintains an organized list of class locations for class instructors
• Assist with developing of marketing materials for outreach meetings and events
• Supports data entry needs as directed
• Serves as the scribe for team meetings and other Community Health and Health Promotion and Education meetings as directed
• Maintains and updates Health Promotion and Education websites as needed
• Purchasing appropriate supplies utilizing a P-Card and rectifying charges in SAMAS
Minimum Qualifications:
• Valid Florida driver’s license or able to get one within 30 days of hire.
• At least three years’ experience using Microsoft Office Suite, primarily Word, and Excel
• At least two years’ data entry experience
• At least two years’ customer service experience
• Strong oral and written communication skills in both English and Spanish
Other Desirable Qualifications:
• Experience preparing health-related materials such as reports, brochures, etc.
• High level of proficiency in Microsoft Office Suite, primarily Word, Excel, and PowerPoint
• Attention to detail
Knowledge, skills and abilities, including utilization of equipment, required for the position:
Ability to operate commonly used office equipment such as computers, printers, e-fax, label maker, paper shredder.
Knowledge and use of computer software to include but not limited to Microsoft Office products (Outlook, Excel, Word, PowerPoint)
Knowledge of general office procedures and practices
Knowledge of correct grammar usage and basic arithmetic.
Ability to prepare reports and correspondence
Ability to plan, organize and coordinate work activities
Ability to follow instructions
Ability to review data for accuracy and completeness
Ability to communicate effectively verbally and in writing.
Ability to establish and maintain effect working relationships with team members and other internal and external stakeholders.
Ability to create, implement and maintain a user-friendly filing system .
