Job Description Primary Responsibilities:
Provide overall administrative support to the managers and superintendents
Principal Duties and Accountabilities:
• Assist with the monthly billings.
• Maintain an office calendar of project manager activities, meetings, travel, vacation, etc.
• Collect timesheets, review and submit to Payroll.
• Assist with project logs (purchase orders/submittal logs/ODPs).
• Assist with tracking O&M data, warranty, freight claims and warranty replacement part returns.
• Credit tracking and verification.
• Equipment, fixture and sub invoice processing, verification and filing after project manager approval.
• Maintain project files and drawing logs.
• Assist with calling subs and vendors for change or pricing.
• Make project manager travel arrangements.
• Type correspondence and proposals.
• Assist with T&M ticket pricing extension billing.
• O&M manuals and start-up book assembly.
• Assist with scheduling and facilitating “Operational Meetings”.
• Maintain and track the critical process list i.e. signed contracts, certificate of insurances for proposal log.
Skills & Requirements Knowledge, Skills & Abilities:
• Must be able to speak and read Spanish
• Must be able to use Microsoft Word and Microsoft excel and Outlook.
• Must be able to multi-task and possess excellent organizational, communication and interpersonal skills.
• Must be able to use office equipment (copy machine/fax machine/plotter).
