The Market HOA Coordinator is responsible for facilitating and participating in all on-site rental inspections. As the primary point of contact for HOAs and other rental inspection agencies with special requirements, the Market Rental Coordinator is responsible for ensuring compliance within assigned portfolio.
Responsibilities
• Establishes contact with the HOA, handles the account setup, and oversees recurring payment management to prevent liens from being placed on AH4R properties
• Conducts HOA inspections in the event a tenant is unresponsive to HOA violations and remediation requests to determine the corrective action required. Escalates as necessary
• Creates violation notices within CRM to comply with HOA rules and regulations
• Provides support and maintains open line of communication with the violation arm in Illinois to ensure HOA issues are handled appropriately and in a timely manner
• Maintains and tracks an accurate log of Leasing Restricted communities to ensure our investments align with company standards
• Actively participates in HOA team meetings
• Conducts periodic conference calls with key contacts in each market to communicate HOA issues and support field concerns
• Ensures that the property inventory in maintained to AH4R standards while on rental inspection walkthroughs
• Actively follows up with an outstanding issues, violations or requirements
• Work closely with the HOA and Asset Management departments in order to help initiate and execute the proper documentations
• Negotiates debt to reconcile any outstanding liens against the owned properties; examines invoices, challenges erroneous charges and recoups amounts owed to AH4R
• Reviews all incoming mail and correspondence to ensure bills are paid timely and to capture important information about changes in billing, voting on changes to association rules, and changes that affect our tenants
• Conducts condition inspections, as needed, during the tenancy to determine property condition; to note and facilitate required preventative maintenance; and to identify any tenant-related damage to the property
• Follows all organizational systems, programs, training, policies, and procedures as required and complies with relevant legal mandates. Seeks guidance as necessary
• Actively supports and participates in the safety program, both for self-protection and the protection of other employees, by reading and abiding by all requirements in the Injury and Illness Prevention Program (I2P2)
• Carries out all responsibilities in an honest, ethical and professional manner
• Handles various other duties as delegated by direct supervisor/management
Requirements
• Bachelor’s degree preferred, but not required
• Basic Microsoft Office PC skills
• Property management or HOA/City Experience is helpful
