Founded in 1916, Palma Ceia Golf & Country Club is located in Tampa’s most prestigious residential neighborhood and is the Tampa Bay area’s oldest and most prestigious private club. The club features an 18-hole championship golf course, tennis courts, swimming, a fitness center, and clubhouse for member entertaining, dining and banquets. Our main focus is providing our members and their guests with outstanding facilities and the highest standard of service.
Job Summary
The clubhouse receptionist/admin assistant is an entry-level position that performs routine front desk/concierge duties.  Primary responsibility falls on providing excellent service to our members and their guests both in person and on the telephone. The receptionist answers the club’s main phone line in a timely and friendly manner, answers routine questions regarding club facilities and events, takes messages, and transfers or redirects calls appropriately. The candidate must demonstrate the ability to proper telephone etiquette, possess excellent communication skills (written and verbal), basic computer literacy (MS Office including Word, Excel, and Outlook), and be proactive, polite, and welcoming. Standard hours are Monday-Friday 8:00 am to 4:00 pm, with occasional  weekends, holidays, and special events.
Essential Duties
• Operates the main telephone; answers and transfers calls to proper extensions; takes messages for staff members, retrieves messages from voicemail and follows up promptly or forwards to appropriate staff member for follow-up.
• Greets all members and guests entering the clubhouse.
• Remains informed and up to date on all club activities and functions and answers related questions; serves as a main point of contact for members desiring information; provides schedules and club information to members and guests.
• Maintains reservation activities for special events and takes reservations.
• Maintains the reception desk area to keep it neat and tidy.
• Assists with clerical tasks requested by management team, including typing, data entry, photocopying, setting appointments, and other related tasks.
• Attends staff meetings and in-service training.
• Maintains a professional appearance and complies with uniform and dress codes.
• Assists in training other clubhouse receptionists as needed.
• Performs other related duties that may be assigned by a manager.
Requirements
Physical Demands
• Must be able tolerate extended periods of sedentary work; sitting with occasional walking and standing, and lifting and carrying articles weighing less than ten pounds.
Minimum Qualifications
• High school diploma or equivalent, and/or three to six months related experience and/or training; or equivalent combination of education and experience.
Preferred Qualifications
• One year of customer service experience and work experience answering multi-line telephone.
