Job duties:
• Assist with data entry of information as provided by vendors & following up on information produced by vendors
• Administrative support to management as necessary
• Assist Management in on-going systems improvements and enhancements
• Assist Management in the completion of special reports and/or projects as required
• Compose correspondence competently
• Manage office supply inventory and coordinate replenishment order
• Answering phone and relaying messages
• Interacting with sales team and management
• Preparing letters, presentations, proposals, reports, etc.
• Management of stock purchase and option agreements
• Research
• Generating quotes (MS Excel templates)
• Handle meetings and Zoom calls - internal and external
• Recording of minutes and notes from meetings and typing notes
• Attention to detail
• Proof reading documents, memos, and letters
• Proficient with MS Office suite
• Proactive approach to problem solving and strong decision-making skills
• Professional level verbal and written communication skills
• Research and hire outside vendors (outsourced IT)
• Partner with outsourced IT for any technical issues and to set up phones
• Maintain Hubspot CRM
• Must be flexible for other duties as assigned: As an associate you may be required to cross-train across roles/departments with similar job duties, or assist with other business needs as required
Requirements:
• MUST have 2+ years of office clerical experience in a corporate setting
• MUST exercise a high level of confidentiality
• MUST be very comfortable with MS Outlook, Word, Excel and working with company phone system
• CRM proficient, will act as the CRM administrator
• They need to be very eager to help with all office tasks as they are the only admin person in the entire company

Environmental Factors/Physical Demands:
Work is performed in an office environment. While performing the duties of this job, the employee is regularly required to have the ability to maintain active customer and employee communication; access, input and retrieve information from the computer system; enter alpha-numeric data into a computerized system often while listening on the telephone. May be subject to repetitive motion such as typing, data entry and vision to monitor. May be subject to bending, reaching, kneeling, stooping and lifting if assigned to any special projects with physical paper file maintenance.
