Prepare and maintain financial and business transactions, applying accounting principles that include work that is analytical and evaluative in nature and that requires an understanding of both accounting theory and practice. Directly responsible for maintaining certain general ledger accounts. Assist in closing the General Ledger by analyzing various accounts and completing journal entries: including maintaining fixed asset subsidiary ledgers, and reconciling all major bank accounts. Analyze Accounts Receivable clearing accounts. Process all bank transactions and bank reports, and assist the CFO with processing bank activity as needed. Assist the Finance Manager and Accounting Lead in completing special projects, as needed.
Principal Tasks:
• Administer the fixed asset account section of trial balance, and fixed asset module in JD Edwards. Analyze and maintain the Fixed Asset accounts and subsidiary records for all divisions. Prepare and reconcile Fixed Asset Schedules to the general ledger at month-end, to ensure Assets reflect appropriate book value. Process corresponding journal voucher entries to record depreciation for the current month. Determine if the expenditure is properly classified as an Asset and, if so, determine if the Asset is properly categorized (i.e., Machinery & Equipment vs. Furniture & Fixtures). Determine the appropriate Depreciation method and useful life by analyzing the type of Asset. Assist in administering the Fixed Asset policy by: maintaining the Fixed Asset subledger and various reports, label all new asset acquisitions, manage physical inventory process and perform the reconciliation between book and actual, coordinate policy with other departments to ensure proper use of Action Approvals and Asset Disposal/Transfer Forms. For G/L closing, verify that the fixed asset integrity report has no discrepancies between G/L and fixed asset modules. Prepare annual fixed asset replacement schedules for insurance purposes. Complete monthly FA reporting process for the Accounting Dept. (both preliminary and final) on a timely and accurate basis. Prepare other fixed asset reports as requested for SMAI management and SMC financial reports.
• Complete all functions necessary to prepare the Bank Reconciliation for the bank accounts. Includes the reconciliation, and analysis of the automated outstanding checklist (and researching any discrepancies), Accounts Receivable deposits, and then completing the Bank Reconciliation JE entry. Within the required deadline the bank account is reconciled and a journal voucher adjusting entry is processed to ensure the general ledger cash account agrees to the balance per the bank statement. Control mis-postings to the bank account, by identifying and resolving problems in A/R and A/P systems to prevent future discrepancies in the Bank Reconciliations. Old and unusual reconciling items between bank balances and book balances are reviewed and adjusted on timely basis. Prepare BLC entry to record non-system cash entries and investigate and record any discrepancies to ensure all charges are properly expense to income statement.
• Prepare schedule of Accounts Receivable and Accounts Payable clearing accounts by recording information from the general ledger pertaining to the respective accounts. Analyze the clearing account schedules to ensure that every entry has an opposite corresponding entry. Research any outstanding balance and determine which department is to make the correcting entry (i.e., Accounts Receivable and/or Accounting). Close out outstanding items on a timely basis by conducting research and following up closely with the user Department. On monthly basis, distribute report to Credit and Accounting staff on open A/R clearing items; flag key open items and person responsible. Process journal voucher for any correcting entries.
• Assist CFO with daily banking activity by printing daily cash flow reports each morning by 9:00AM. Process all wire transfers (i.e. request for remittance from Japan, HR wires, SMAC payment) on a timely basis either through the on-line banking system or by fax. Investigate positive pay exceptions and process on a daily basis to ensure valid checks are being paid. Identify EPA(ACH debits) exceptions and follow through to set-up account properly. Assist in the preparation of bank documents when needed (signature cards, new bank features). Process Check Inquiry forms on a timely basis (research if check is paid, pull copy of check or place stop payment on unpaid checks). Enter incoming deposits on bank log, and follow-up on unposted deposits.
• Prepare assigned month end journal entries and G/L closing tasks including, SMC offset, SMC freight, warranty lag, and warranty payment within G/L closing deadline, and prepare and forward monthly warranty report for Service Managers by the 20th of each month.
• Responsible to develop, prepare and distribute various reports on regular basis. Become power user for Access, Insight software and Excel. Gives advice to staff and recommends establishment of new or modified reporting methods and formats to improve report content and completeness of information. Be the go to person for advance technical reporting questions. Generates and maintains the department reports list, make sure all reports are completed on time and sign off for completeness.
• Assist the Department Manager and Accounting Lead on various special projects. Prepare various schedules for auditors for interim and year end audit on timely basis. Answer auditors questions such as analysis on account balance fluctuations. Participate in various department meetings and prepare related reports - monthly flux analysis, Kaizen suggestions, and G/L closing meetings. Complete assigned CPS sections on a quarterly basis.
• Other tasks, as assigned.
Minimum Qualifications:
• 2 years accounting experience required in the area of G/L closing functions.
• Bachelors degree in Accounting or related subject preferred.
• Proficient in Excel. Knowledge of JDEdwards and Access a plus but not required.
• Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, and to attend meetings at various sites within and away from the city.
• Strength to lift and carry materials weighing up to 20 pounds; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone.
