Duties:
Position Summary:
This position will help USF Institute of Applied Engineering staff members with general office and contracts works that includes inputting contracts data into IAE’s Deltek/Costpoint contracts module, track contract routing, help with front office processes/procedures, etc.
• Student should have Microsoft Suites experience (Word, Excel, PowerPoint)
• Database and other computer work (attention-to-detail and facility with Excel is a plus)
• General office duties, such as filing, mailing, photocopying, scanning, shredding, stock and maintain office supplies, etc.
• Assist with projects, events, and meetings (preparation of materials, etc.)
• Answering phone and greeting visitors in a professional and prompt manner
• Assist with providing front desk (reception) coverage
• Key in contracts information into the Deltek/Costpoint and excel file
• Manage upkeep of digital filing systems in Box
• Manage reception area for IAE’s new office at the University Mall
• Draft procedures for assigned duties to add to IAE’s Business Office Manual
• Other duties as assigned
Average Number of Hours per Week: Student should have 20 hours of availability.
Schedule: Flexibility to work anytime between 8 AM - 5 PM, Monday - Friday.
Minimum Qualifications:
Applicant must have a current Federal Work Study (FWS) award for the current academic year in order to apply for this position. Preferred Qualifications:
• At least one year left until graduation
• Some knowledge of Microsoft Access
