Full Job Description OFFICE MANAGER FOREST HILLS PRESBYTERIAN CHURCH
JOB DESCRIPTION
Purpose
To serve as the initial point of contact and resolution for visitors, to provide all forms of communications to congregants, maintain all database information for the church, and provide administrative support for all staff members.
Minimum Qualifications
College degree preferred, prior experience working in an administrative capacity in a church or non-profit organization also preferred.
Hours
The position is generally 30 hours a week, Monday through Friday 9:00 AM to 3 PM, with adjustments for special projects or events that may require additional hours.
Compensation and Benefits
Compensation for this position is $15 to $18/hour depending on level of expertise. Annual paid leave provided. Access to health care benefits available. Paid days off are given for all recognized national holidays.
Accountability and Working Relationships
Serves as production and communication support for all staff members, assisting with various tasks as requested by staff.
Reports directly to and is accountable to the pastors.
Must present a friendly, co-operative and helpful relationship with congregants, visitors, vendors and staff.
Must display a high level of confidentiality, maturity and flexibility.
Duties and Responsibilities
• Serve as receptionist: screen and direct phone calls, greet and direct visitors to the office.
• Respond to all phone messages and emails as they occur.
• Retrieve the mail daily and distribute or respond to accordingly.
• Take bank deposits to the bank and send out daily mail at the post office as needed.
• Attend weekly staff meetings.
• Assist the Pastor in maintaining the church calendar and scheduling of church events.
• Order all office supplies and facilities janitorial supplies.
• Maintain connections and scheduling of copy machine servicing.
• Produce a weekly eblast to keep congregants abreast of events, services and concerns.
• Produce the monthly FHPC newsletter and take to the Bulk Mail Distribution center
• Produce the yearly Friends and Family Directory
• Produce the quarterly congregant information files used by the Deacons.
• Maintain and update all files related to the congregation.
• Produce the weekly worship bulletin.
• Maintain all files related to worship services such as weekly attendance.
• Produce memorial bulletins and maintain memorial files for each year and the deceased.
• Assist with financial operations, and mail letters of acknowledgement to both donors and the bereaved for all memorial services.
• Maintain the church congregant database (ACS)
• Prepare and mail monthly congregant birthday cards on schedule.
• Prepare and maintain the office bulletin board monthly.
• Prepare all mass mailings to the congregation, including the quarterly giving statements.

• Maintain the church operation manual.
• Meet daily with Facility Manager to prioritize work projects.
• Prepare and distribute the Annual Report each January.
• Co-ordinate and order flowers displayed weekly in the Sanctuary.
• Assist Presbyterian Women and all committee chairs with communications, bulletins etc.
• Maintain “white board” of congregant concerns and alert pastors those concerns.
• Make immediate response to any security concerns, paying attention to activity on campus.
Knowledge, Skills and Abilities
• Must have strong technical skills.
• Be able to work independently and creatively and maintain an atmosphere of control.
• Must be very organized and be able to multi-task and work quickly when needed.
• Have strong verbal and written skills.
• Strong attention to detail and problem solving.
• Must be able to work within and support FHPC mission and message.
Job Type: Part-time
Pay: $23,400.00 - $28,080.00 per year
