Job Title: Administrative Assistant Remote Position: No
Department: Administration Job Type: Full Time
Reports to: Owner Schedule: Monday thru Friday
Supervisory Responsibility: No FLSA Status: Exempt, Salary
Pay: From $35,000 per year Physical Demands: Level I
Job Summary: Responsible for various duties and tasks to assist with day-to-day operations as well as developing, coordinating, and executing tasks consistent with company’s long term growth plan. The position is perfect for someone who enjoys learning and problem solving.
Essential Duties and Responsibilities:
• General Office Duties o Answer phones and greet visitors in a personalized, friendly, and inviting manner. o Ship and receive packages as needed (light shipping). o Maintain appropriate levels of office supplies and purchase as needed using company accounts. o Perform light cleaning of the office to maintain office cleanliness and professionalism.
• Vendor Management o Coordinate various task with outside vendors, including, but not limited to lead-times, quote status, production/prototype status, etc. o Research and identify new vendors as needed for office supplies and services. o Assist Engineering with identifying and contacting new vendors related to OTS components and manufacturing.
• Operational Duties o Maintain files digitally in Office 365 and SharePoint. o Identify, document, and implement standard operating procedures (SOP’s)
• Project Management Assistance o Assist in the scheduling of customer and vendor meetings. o Maintain and provide project status report summaries to owner for real time review. o Follow up on open quotes and maintain organization of quote status, value, and confidence level. o Assist in the quoting and coordination of prototype, production, and quotation with company partners/factories. o Track and keep team members up to date with prototype and production order status’. o Order Samples
• Business Development / Marketing o Solicit and manage online reviews on various platforms. o Identify and engage in various marketing/partner channels that will create leads and ultimately generate business for the company. o Coordinate and manage internal and external referral commissions. o Create and maintain social media accounts with fresh contact and accurate information. o Update website content as needed to help communicate company services and capabilities using WordPress GUI.
• HR Related Duties o Identify, schedule, and coordinate monthly team building events and exercises. o Create and manage job postings and coordinate interviews and preliminary screenings. o Help to establish owner’s vision as it relates to company culture and professionalism.
o Maintain employee files, company HR documents and assist in compliance of various laws and requirements. o Periodically review and update job descriptions and documents as needed.
• Manage/report on tasks and projects utilizing Microsoft Office 365 Planner and/or Email.
• Perform other tasks as directed by owner
• Adheres to all company policies, procedures, and business ethics codes
Preferred Skills
• Customer Service Experience.
• CRM Experience.
• Experience updating website content using simple website text editor (WordPress).
• Experience managing schedules and creating meeting using Microsoft Outlook and/or Teams.
Required Skills
• Individual must have a strong work ethic, a high energy level, and be proactive and detail oriented.
• Highly organized/detailed individual with exceptional written and verbal communication skills.
• Handling of telephone calls in a professional manner.
• Excellent time management skills; ability to multi-task and prioritize.
• Comfortable making outgoing calls and identifying appropriate POC.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat DC
Educational/Certification/License
• High School Degree or Equivalent (Required)
• A Degree in Business / Marketing / Communications or Similar (Preferred)
