Job Overview
Performs administrative and office support activities providing customer service, clerical, secretarial, and processing, which may require various degrees of independent judgment. This position will focus on responsibilities of monitoring and responding to public record requests, while supporting the Fire Marshall.
Minimum Qualifications
• Graduation from high school or possession of a GED Certificate; and
• One year of clerical/receptionist experience; or
• An equivalent combination of education, training and experience that would reasonably be expected to provide the job-related competencies.

Duties and Responsibilities
Note: The following duties are illustrative and not exhaustive. Depending on assigned area of responsibility, incumbents in the position may perform one or more of the activities described below.
• Acknowledge receipt of the multitude of Service Requests (CRM'S) received by the Fire Marshall's Office from the County Customer Service Department.
• Fulfill the information requested in the Service Request in a timely manner.
• Monitor and answer the emails in the Fire Marshall's inbox in a timely manner.
• Gather requested information and send out fire reports in a timely manner.
• Gather requested information and send out incident reports in a timely manner.
• Routinely utilize office equipment and software, including but not limited to fax machine, copier, scanner, Cisco telephone system, and Microsoft Office products to generate informational spreadsheets. Maintain logs and records of services performed, documents received and charges.
• Routinely perform backup receptionist duties such as answering telephones and greeting customers.
• Perform other related duties as assigned.
Job Specific Competencies

• Knowledge of English grammar, punctuation and spelling.
• Ability to follow oral and written instructions.
• Ability to perform other clerical duties such as filing, answering the telephone and compiling figures for routine reports.
• Ability to use general office equipment and perform basic operations on data processing equipment.
• Ability to type.
• Ability to use a computer and related software, such as Microsoft Outlook, Word, and Excel.
• Knowledge and understanding of county government policies and impact.
• Ability to make sound decisions in a timely manner.
• Ability to communicate in a clear, concise manner.
• Ability to manage the work day in an effective manner.

Working Conditions/Physical Requirements
• Sedentary work - Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
• Work is performed in a standard indoor office environment.
Emergency Management Responsibilities
In the event of an emergency or disaster, an employee may be required to respond promptly to duties and responsibilities as assigned by the employee's department, the County's Office of Emergency Management or County Administration. Such assignments may be for before, during or after the emergency/disaster.

• Maintain the ability to pass the background checks required for the position. These background checks may include but are not limited to:
• Criminal history background check using the Florida Department of Law Enforcement (FDLE) Criminal Justice Information Services (CJIS)
• Level 1 and Level 2 background screening (Ch. 435 Florida Statutes)
• Child abuse, abandonment, and neglect record check using the State Automated Child Welfare Information System (SACWIS)
• Sex offender and sexual predator record check using the list maintained by the Florida Department of Law Enforcement (FDLE)
• Possess the necessary job related licenses or certifications.
