Position Concept
This position will provide direct assistance and support to Case Management in an effort to reduce workloads for frontline staff. This position will provide administrative support, such as: tracking timeliness of medical and dental appointments and appointment setting, updating FSFN, records collection from providers, keeping cases on track for court, and other support functions. This position will require strong computer skills to include proficiency in Microsoft Suite. This position will require an ability to work independently on assignments, as well as the ability to work well under pressure by complying with time constraints and task completion deadlines.
Essential Functions
• May complete written referrals and purchases of service for clients.
• May initiate ICPC/OCS paperwork, request relative locator searches, initiate background check requests, assemble staffing packets, etc.
• Requests and tracks provider records, including but not limited to: medical/dental/educational/counseling records for children, provider records for parents. Ensures all records received are filed into the circuit’s electronic filing system (ASK).
• Contacts caregivers for medical/dental information and utilizes Florida Safe Families Network (FSFN) and/or other identified trackers to reflect updates.
• May provide assistance with managing random drug screen color code system, processing daycare referrals, creating adoption packets, and/or completing caregiver contact calls for new relative/non-relative caregivers.
• Responsible for tracking court orders to ensure appropriate follow-up is completed prior to the next court date.
• Maintains frequent and open communication with the CMO team and any other identified parties as needed.
• Will document efforts and activities in Florida Safe Families Network (FSFN) and/or other utilized spreadsheets as required.
• Must possess a positive attitude concerning all aspects of working in a challenging environment including significant patience and respect for peers and team members, as well as the children and families receiving program services.
• Trained and authorized to access client protected health information.
Other Duties Include, But Not Limited To
• Attend and participate in professional development training for professional growth as developed by the Agency/CBC, as required by the state of Florida and in accordance with Agency policy and procedures.
• Report any acts, incidents or conditions that reflect the possibility of inappropriate youth-to-youth or staff-to-youth relationships. Report any use of physical force and all incidents per Eckerd Connects policy and state guidelines
• Perform other duties as assigned.
Position Specifications
Education: High School diploma or equivalent required. AA degree or Business School preferred
Experience: 2+ years related work experience
Certification: None required
Skills: Ability to practice all Eckerd Connects/CBC policies and procedures related to privacy and security practices cited in the Health Insurance Portability and Privacy Act (HIPPA) applicable to my program and position; Excellent verbal and written communication skills; Public speaking skills; Must be highly motivated and self-directed. Knowledge of community resources, service referrals and linkage, and child development; including physical, mental, emotional and cultural and ethnicity issues required. Ability to work under stressful situations with poise; Must attend relevant skills-enhancement training and demonstrate required program specific knowledge. Must be computer literate. Detail and organizational skills critical. Time management skills necessary to accomplish this position.
Other: Must have appropriate and valid state driver’s license. Must meet state criminal background check requirements.
Physical Demands : Ability to regularly lift/move up to 25 pounds and sit for long periods of time; Ability to work irregular schedule as required to complete work assignments successfully; Must have reliable transportation & ability to use personal car to transport clients. There may be potential exposure to clients that may exhibit physically and/or verbally aggressive behaviors. There may be potential exposure to communicable diseases. Be familiar with the facility’s fire prevention/first aid equipment, evacuation routes, exposure control and disaster plans. Maintain client and staff contact information and evacuation plan in the event of a natural disaster and must have availability for contact for self during a natural disaster. Must be free of communicable disease as defined by the appropriate state and to the extent that knowledge is attainable under the law.
