Hiring Salary/Salary Range: $15.00 hourly rate / 32 hours per week
DUTIES:
The Client Services Assistant is the initial point of contact for most of the YYC’s clients. In addition to typical front desk responsibilities, the person in this position will be expected to be well versed in clinic services and have basic knowledge about the clinic’s risk reduction initiatives, research opportunities, and community partner referrals. They will work closely with the Clinic Tester, Adolescent Health Resource Coordinator and Nurse Manager to ensure that patient needs are identified and met.
Front Desk Coverage:
• Answer phone calls and contacts patients prior to appointments for reminder, insurance issues and updates
• Schedule clinic appointments and check in all patients
• Work with RCO contact to verify eligibility for services, and request authorization for referrals as required
• Collect cash payments for patient appointments and maintain log of payment
• Assemble required patient intake packets for day and maintain adequate copies of front desk paperwork
• Scan required paperwork into patient charts in EPIC and handle other patient paperwork as needed
Patient-Clinic Liaison:
• Serve as resource for patients regarding ongoing clinic risk reduction initiatives and research studies
• Work with Clinic Tester, Nurse Manager, Adolescent Health Resource Coordinator to identify additional clinic services/referrals appropriate for individual patients
• Work with Executive Director and staff to maximize youth-focused educational opportunities in clinic spaces and develop new initiatives
Clinic paperwork management:
• Work with Nurse Manager and Executive Director to ensure that required clinic paperwork is stored and disposed of appropriately
Manage Clinic Physical Facilities:
• Open and close clinic and ensure neatness and cleanliness of reception desk, main waiting room and central corridor
• Interact with rental agency, cleaning crew, USFPG facilities
• Identify facility issues and capital equipment needs
• Maintain list of staff using arranged clinic parking
Interns:
• Check in interns scheduled to be in clinic
Manuals:
• Ensure Client Services Manual remains up to date
Other duties as needed and appropriate including
• Update Clinic Calendar as relates to position
Supervisor: The Client Services Assistant will report to the YYC Nurse Manager
Vacation Coverage: Front Desk responsibilities will rotate between clinic staff as detailed in the Clinic Schedule when the Client Services Assistant is not in clinic. Other duties will be covered by staff as directed by the Nurse Manager.
QUALIFICATIONS (Education & Experience):
Minimum Qualifications:
• This position requires a high school diploma or equivalent, with two years of experience in an office or administrative support position.
• Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
• Testing may be required to assess competency on word processing software.
