We are currently seeking a Accounts Payable Clerk
Position Summary
The role of the Accounts Payable Clerk is to issue payments and control expenses by receiving, processing, verifying, and reconciling invoices, statements and expense reports utilizing knowledge of basic accounting rules, procedures, and operations. The Clerk will provide general support to the Finance group and work collaboratively with a variety of departments. Must have the ability to meet multiple deadlines and possess strong organizational and planning skills.
Essential Job Duties
• Maintain vendor contact information and request and verify W-9 from vendors,
• Review submitted purchase orders and invoices for completeness, documentation, approval, accuracy and compliance with contracts and policy and procedures,
• Charge expenses to general ledger accounts and departments/cost centers, discussing with Accounting Manager & Staff Accountants as needed,
• Reconcile (or review) vendor statements and associated invoices (Visa, AMEX, Enterprise/National, Office Depot, Staples etc.), research, and correct discrepancies,
• Review staff expense reports (manual and electronic) for accuracy, reasonableness and compliance with policies and procedures,
• Enter vendor and employee bills into the accounting system,
• Schedule and issue checks and ACH payments in accordance with AP Check processing schedule,
• Match invoices to checks/registers, obtain signatures, and distribute checks as applicable by mail, e-mail, or delivering to staff,
• Maintain files and documentation in accordance with company policy and accepted accounting practices,
• Maintain vendor relationships and handle all incoming calls and questions about AP’s (employees and vendors),
• Print and issue 1099’s per company policy and procedures,
• Maintain confidentiality concerning financial and employee transactions,
• Monitor discount opportunities and ensure late payments/finance charges are minimized,
• Maintain job knowledge by participating in related training
• Assist with special projects and other duties as assigned.
Minimum Education, Training and Experience
• High School Diploma; AA degree in Accounting or related field preferred,
• 3 years’ related experience and/or training,
• Proficient in Microsoft Outlook, Word, Excel, and accounting software,
• Ability to type 55 wpm,
• Must possess and maintain valid driver’s license in the state of employment and have a driving record that meets the standards of the AMIkids Transportation Policy.
