Role Summary : As Office Administration, you will be responsible for adherence to all programs and processes throughout Start Fresh Counseling Center as well as ongoing support of company mission, vision, and values by exhibiting the following behaviors: excellence and competence, collaboration, innovation, commitment to our community, and accountability and ownership. As a direct report of the Business Manager, you will actively and proactively report any process or ethical concerns per process. You will ensure adherence to any/all training initiatives that align with all Operating Procedures set forth. Continuous collaborate work with any leadership or adjacent departments, as necessary. High degree of organization and ability to communicate accurately and clearly both written/oral communication proficiency.
The position always requires vital client service and problem-solving skills and responds independently to constant challenges and change while maintaining discretion and professionalism. Must have a professional approach to work and possess superior organizational skills and accuracy. Excellent problem-solving and people skills are also required.
Core Responsibilities:
• Skilled in providing quality customer service face to face, in written correspondence and via telephone.
• Performs general office administration and reception for all customers, vendors and or clientele of any kind.
• Verify insurance of clientele and communicate frequently with insurance carriers.
• Performs in both payables and receivables management with heavy emphasis on billing.
• Usage of billing codes on a constant basis, ensuring all administration records, billing and patient record documentation required are completed in an accurate and timely manner.
• Schedules appointments.
• Maintain the day to day billing of intakes, Office Ally, Ring Central and consistently seek improvement in billing policies and procedures for all billing and reimbursements.
• Responds/Initiates to requests regarding insurance and contractual services.
• Gathers/inputs data around client intake forms, filing administrative documents and contact/services.
• Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
• Schedule and coordinate meetings, appointments, and travel arrangements for CEO as need.
• Ensures all internal processes are following Federal, State and Payor regulations or guidelines in accordance with Start Fresh Foundation, Inc. policies and SLA’s.
• Ensures proper filing or documentation is followed in relation to client records and applicable business documents.
• Performs or assists in special audits and reviews as defined by requests from internal departments and outside agencies.
• Maintains working knowledge of various laws, regulations and industry guidance that may impact Start Fresh Foundation, Inc., and its supported corporate Compliance program.
• May be responsible for supplies or inventory, both office and administrative.
• May manage the production of patient brochures, newsletters, and other correspondence.
• Manage all clerical, secretarial, and administration/support staff activities, ensuring an effective service.
• Prepare and mail all US/UPS/Fed Ex packages.
• Sort and distribute incoming mail.
• Oversee all administrative aspects of seminars/workshops including registrations, confirmations, certificates, badges & evaluations, preparation and mailing of materials to seminar/workshop sight.
• May be called upon to assist with special projects.
• Maintain relationships with partners/vendors/suppliers, as needed.
• Represent the company in events, conferences etc.
• Other duties and tasks as assigned by management.
Patient Care:
• Ensure patient privacy and confidentiality is always maintained.
• Interacts with patients and gains customer feedback about Start Fresh Foundation.
• Addresses patient complaints in a compassionate and timely fashion.
Core Qualifications:
• High School completion with Associates Degree preferred in related field required.
• Minimum of 1 year of work experience with related activities in Medical/Medicaid processes, billing, medical coding, and/or related reporting required.
• Basic proficiency in usage of Microsoft Office applications, database and information systems is required along with well-developed analytical, problem-solving, and interpersonal skills.
• Required to demonstrate professionalism, political astuteness, diplomacy, the ability to work collaboratively with others while exercising tact and good judgement.
• Required to maintain levels of client/records confidentiality and any subsequent reporting related to client case management and/or related billing.
• Required to sign Confidentiality, Non-Competition and Non-Solicitation Agreements upon role acceptance and as needed by any future operational changes.
Licensure, Certifications, and Clearances:
• A comprehensive Level 2 background is required prior to hire and ongoing as required.
• Proof of credentials may be requested upon hire, inclusive of but not limited to transcripts, certifications, skills testing, diplomas, etc.
