Operations Assistant Tampa, Florida United States - Full time Description
POSITION SUMMARY : The Operations Assistant ensures the efficient day-to-day operation of the office and supports the work of management and other staff. Primary responsibility for supporting the operations of the business by coordinating assigned activities related to operations, accounting, customer service, inventory, shipping, safety and other administrative duties.
ESSENTIAL JOB FUNCTIONS, DUTIES, AND RESPONSIBILITIES :
• Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
• Create, maintain, and enter information into databases.
• Schedule and confirm appointments for clients, customers, or supervisors.
• Sort and distribute incoming mail or other materials. Draft written or email responses when necessary to routine letters.
• Provide services to customers, such as order placement, order changes, or account information to ensure product accuracy.
• Respond to regularly occurring request for information to include conducting searches to find needed information, using such sources as the Internet.
• Order and dispense supplies and ensure office equipment is maintained in working conditions
• Learn to operate new office technologies as they are developed and implemented.
• Schedules and organizes complex activities such as conferences, meetings, or special events.
• Train and assist staff with computer usage.
• May be involved in the review, coordination and communication of the following: Shipping and Receiving documents, cycle counts, expenses and purchase orders, internal transfers, safety communications, cash summaries, P-card balancing, and reporting.
• Responsible for Inventory controls such as but not limited to Cycle Counts, Adjustments, BOM’s, and Receiving Goods
• Create shipping documents and coordinate freight both inbound and outbound
• Assist in coordinating, maintaining and record keeping of all Safety related activities
• Running daily reports such as but not limited to Edit reports, Invoicing, Cash Summary, Cutting Reports, P-Card and office expense
• Order and shipment tracking
• Organize and maintain Customer and Vendor records
Requirements
NECESSARY SKILLS, BACKGROUND & COMPENTENCIES :
• Proficient in MS Office with expertise in Microsoft Word, PowerPoint, Outlook, and Excel.
• Exceptional communication skills.
• Superior organization skills and dedication to completing projects in a timely manner.
REQUIRED EDUCATION/CERTIFICATION :
High school diploma, GED or equivalent Benefits
