DESCRIPTION:
This position performs a variety of office administrative support functions requiring independent judgment, research, collection of information/data, preparation and maintenance of reports, and maintains the confidentiality of sensitive information. Assists with special projects and provides guidance to the administration to ensure deadlines are met and or targets are achieved.
Essential Functions:
• Personnel - Prepares and processes human resource actions in accordance with the State Personnel Rules and Department policies and operating procedures. Provides documents and other related material as it pertains to all human resource actions. Assists with the hiring process by advertising position vacancies and assembling the hiring packets. Assists with and tracks the scheduled performance evaluations within the Administration Unit. Schedules/coordinates interviews. Coordinates required background screenings, conducts reference checks and personnel file reviews; Assists in completion of hiring documents; Maintains and files the recruitment and selection package for required retention period.
• Administrative - Prepares correspondence, reports, memorandums, documents/records staff meeting minutes, and other materials for dissemination. Prepares, and submits travel requests and reimbursements. Prepares and submits required security forms to obtain systems access for staff within the administration as directed. Maintains contact lists, appropriate filing or tracking systems, and performs general copying and mail distribution tasks. Monitors supplies and maintains advanced ordering to ensure a constant supply of forms, documents, materials/supplies and process travel request documents
• Customer Service - Handles customer complaints and Department referrals/trackers, tracks, and follows up to ensure resolution. Keeps management fully informed of activities, pertinent issues, upcoming events, and potential problems. Provides customer service by handling complaints and routing to the appropriate area.
• Reports - Develops and maintains tracking systems to ensure completion of assignments. Compiles information and prepares reports.
• Assists with routine correspondence preparation, special assignments, research and report preparation.
• Performs other related duties as assigned.
Desired Knowledge, Skills, and Abilities:
• Knowledge of Basic principles of human resources management; Knowledge of effective communication techniques; Ability to research and analyze issues; Ability to utilize problem-solving techniques and make independent decisions in accordance with documented processes; Ability to work independently; Ability to understand and apply applicable rules, regulations, policies and procedures relating to program functions; Ability to recognize and satisfy customer needs; and Ability to organize work assignments.
Minimum qualifications:
• 3 years of secretarial or clerical work experience.
• College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience.
• Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.
• A high school diploma or its equivalent can substitute for one year of the required work experience.
Preferences:
• Experience, education or training in recruitment and selection activities
• Knowledge of Department of Children & Families’ services related to child welfare, adult protection, economic self-sufficiency, or mental health treatment facilities direct care.

BACKGROUND SCREENING REQUIREMENT: It is the policy of the Florida Department of Children and Families that any applicant being considered for employment must successfully complete a State and National criminal history check as a condition of employment before beginning employment, and, if applicable, also be screened in accordance with the requirements of Chapter 435, F.S., and Chapter 408, F.S.
