ORGANIZATIONAL SUMMARY
The University of South Florida Health’s Office of Continuing Professional Development (OCPD) provides continuing education (CE) activities for physicians, advanced practice providers, nurses, pharmacists and many other healthcare professionals (HCPs). OCPD is a provider of 18 different healthcare profession accreditations, including ACCME, ACPE, ANCC and other state/national HCP boards. OCPD provides multiple CE formats including live, online, regularly scheduled series (grand rounds) national curriculum courses, bio-skills, simulation training and interprofessional team training.
POSITION SUMMARY
The CE Coordinator I exercises autonomous, critical thinking and judgment for planning, developing, and administering CE activities. The CE Coordinator I ensures all CE activities comply with accreditation requirements, standards/regulations, and policies and procedures (P&Ps). Compliance oversight includes review of learning objectives, gap analysis, commercial bias absence, conflicts of interests, and activity effectiveness. The CE Coordinator I is fiscally responsible for developing, managing, and reconciling budgets in accordance with organizational P&Ps. Successful management of the CE Coordinator I duties require excellent communication skills with OCPD team and clients.
The CE Coordinator I will oversee all aspects of their assigned activities and may be required to work remotely.
Position Requirements
Education and Experience
• Bachelor’s degree required or commensurate experience in the field
• Minimum two years experience in program/project management or commensurate additional experience
• Prefer four years program/project management and continuing education experience

Educational Planning 30%
• Applies adult learning principles in CE activities for healthcare professionals to support their learning and change
• Applies organizational learning principles in CE activities for healthcare professionals that supports organizational learning and change
• Effectively conducts a focused discussion with clients for a potential new activity, identifying scope, alignment with accreditation standards, viability, and financial impact to OCPD
• Accurately translates initial activity discussions into a pricing proposal
• Identifies data and appropriate sources to address HCPs practice gaps and underlying learning needs
• Constructs learning objectives that are specific, realistic, measurable, for each CE activity
• Differentiates and incorporates various learning formats
• Assures activity is evidence based, and independent from commercial interests
• Implements effective meeting planning and hospitality management practices in planning CE activities

Manages and Administers Compliant CE Activities – 30%
• Meets all deadlines for marketing content and distribution when OCPD is responsible for promotion
• Assures activities are compliant with local, regional, laws and regulations in addition to all accreditation requirements
• Recognizes when multiple accreditations or complex single accreditations creates compliance issues, and seeks support
• Timely submits accurate documentation for special accreditation
• Collects requisite and accreditation compliant speaker information
• Submits accurate and timely documentation to open registration
• Maintains accurate and timely financial and accreditation documentation for each activity and ensures closure
• Effectively utilizes databases for reporting, financial management, accreditation tracking and space set up
• Manages deadlines, budgets, accreditations, customer communication, faculty communication, logistics and outcomes for all activities

• Uses outcomes data to assess the CE activity’s impact on the HCPs’ attitudes, knowledge, skills, performance
• Identifies and implements the appropriate mechanism of outcome measurement

Financial Management – 10%
• Creates an LOA and executes
• Implements basic accounting, financial management, and human resource practices in compliance with P&Ps
• Accurately and timely reports financial data
• For oversite activities, ensures the activity stays within the parameters of the pricing proposal
• For activities in which OCPD is responsible for all revenues and expenses, accurately maintains a break-even budget from project development to reconciliation and notifies leadership if the breakeven budget is falling out of compliance
• Provides timely activity reconciliation and accurate close-out including related reporting, invoicing and activity closure

Logistics Management – 5%
• As required, coordinates catering, audio/visual, space, registration, staffing, equipment/tissue orders, transportation and travel
• Assures high-level customer service to faculty and participants
• Effectively communicates with housekeeping, registration staff, security and other impacted team members
• Assures that all exhibits/exhibitors comply with the Commercial Support Standards
