Job Status: Non-Exempt; Full Time
Position Title: Trust Operations Administrative Assistant
Supervision Received: Position reports to Trust Operations Officer
Supervisory Responsibilities: None
Job Summary: This position is responsible for performing operational support and administrative activities for multiple Trust Officers.
Essential Functions, Duties and Responsibilities include, but are not limited to:
• Work with Trust Officer and customer to process and complete customer requests
• Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
• Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors.
• Process trades, transfers and dividend payments
• Process distributions and prepare receipts for customers
• Process bond issues
• Process tax payments and returns
• Balance daily work items
• Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
• File and retrieve corporate documents, records, and reports.
• Open, sort, and distribute incoming correspondence, including faxes and email.
• Processing of retirement plan contributions, distributions, allocations & tax reporting.
• Set up and maintenance of accounts and securities.
Knowledge:
• Clerical — Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology
• English Language — Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
• Customer and Personal Service — Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
• Computers and Electronics — Knowledge of electronic equipment, and computer hardware and software, including applications and programming

Education, Experience and Qualifications:
• High school diploma or equivalent required
• Associates Degree in Business, Accounting, or related field is preferred but not required
• Requires intermediate computer literacy of word and spreadsheet software and recordkeeping and bookkeeping principals

Working Conditions:
Indoor, environmentally controlled. Usual office working conditions. The noise level in the work environment is typical of most office environments with telephones, personal interruptions, and background noises.
