We are looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As a Receptionist, you will be the first point of contact for our company. Our Receptionist’s duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. Multitasking and skills are essential for this position. Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.
Responsibilities
• Answer a multi-line phone system and direct phone calls in a polite and friendly manner
• Greet and direct clients/visitors in a cheerful, personable and professional manner
• Maintain reception area
• Operate standard office equipment on a regular basis, including a fax, copier and scanner
• Receive, sort and distribute incoming mail
• Order office supplies and keep inventory
• Maintain electronic and hard copy filing system
• Open, prepare and close office each day
• Complete Ad hoc projects
• Coordinate shipping of packages through FedEx, UPS
• Proof and prepare reports, letters and other documents
• Schedule and maintain partners calendars
• Data entry
• Basic bookkeeping
Skills
• Must be able to keep sensitive information strictly confidential
• High school diploma or general education degree (GED) required
• Typing/word processing is required
• 2-3 years of relevant experience in an office environment is a plus
• Computer skills and knowledge of Microsoft Office, Outlook
• Strong phone skills
• Demonstrated ability to read, write, and speak English
• Comfortable multi-tasking and prioritizing tasks without guidance
• Excellent interpersonal skills
• Punctual with strong attendance history
• Must be able to meet deadlines in a fast-paced environment
