Career Opportunity: Project Controller
Job Overview:
Support and consistently reinforce Coastal s Core Values, is responsible for the accounting operations of the project, including financial controls and reporting to reduce risks, maintenance of accounting records and budgets, cash flow reporting and management, and oversight of the payment process to insure accuracy of billings to the owner and from subcontractors and vendors. Additionally, support Regional Presidents and Coastal CFO in regional financial reporting, budgeting and forecasting.
Essential Duties / Responsibilities:
General:
• Assists in fostering and enhancing owner, architect, subcontractor and vendor relations.
• Ensures strict adherence to ethics and compliance requirements throughout the company.
• Understands Coastal s Contract and Subcontract Agreements.
• Supports and drives utilization of Coastal s initiatives and technology systems.
• Enhances the accuracy of reported financial results.
• Assisting Regional Presidents and CFO in regional financial reporting, budgeting and forecasting.
Project Start up:
• Assists Project Executive and Project Manager with turnover meeting from Precon.
• Creates Cost Codes consistent with the current Coastal setup.
• Oversees input of initial budgets into Sage.
• Sets up owner payment application to be used for the project.
• Assists in setting up directory and file structure on the Shared Project Drive with IT.
Construction Phase:
• Oversees financial aspects of the owner s contract, subcontracts and purchase orders.
• Prepares and reviews reports with project staff such as cash flow reports and MPSR.
• Oversees the Florida Construction Lien Law requirements including tracking of filing and expiration of the Notice of Commencement, insuring all Notice to Owners are logged and tracked and that lien releases are collected, reviewed and logged for all subcontractors and sub tiers.
• Works with Risk Management to set up tracking logs to ensure all insurance is in place and current including Builder s Risk, pollution, general liability, equipment, and other insurances required.
• Insures that Insurance Certificates and Bonds are on file prior to commencement of work by subcontractors and that track the expiration date of Subcontractors policies.
• Assists Risk Management Department with CCIP/OCIP and SDI program requirements for the project.
• Insures owner s payment application is submitted and paid timely and that all subcontractors are paid timely upon completion of conditions precedent to payment including releases, statement of accounts and other documentation required to ensure proper payments.
• Oversees the owner payment application process including:
• Opens the draws in Textura.
• Ties out the Owner payment application to Sage.
• Populates the monthly subcontract and MI requests
• Coordinates Pencil review with owner and bank
• Finalizes and submit by the contract deadline
• Follows up to insure all information is presented for a timely receipt of draw proceeds
• Interfaces with owner and bank representatives with review of payment applications, periodic inspection of construction site and review of on and off site stored materials.
• Assists Project Management with Change Management process by providing reports and records (PCOs, CORs, COs), evaluating accuracy of back-up provided, and oversight of the document control process related to owner and subcontractor Change Orders.
• Assists Project Management with special requests and additional analysis.
• Assists project team and legal counsel with claims of liens, subcontractor claims and defaults, and any associated litigation.
Close-out:
• Assists in obtaining all necessary financial close-out documents (owner and subcontractor)
• Obtains all final lien releases for the project
• Ensures proper transfer to owner of utilities and insurance
• Assists in obtaining the release of any bonds posted during construction by Coastal or any subcontractor
• Turns over to the owner all required close-out documents as requested by the Senior Project Manager or Project Manager
Education / Experience:
• Bachelor s degree in Finance or Accounting
• 7-10+ years of progressive experience in the construction industry on large scale projects
• General Accounting, Budgeting and Forecasting
• Past supervisory and leadership experience
Knowledge / Skills Required:
• Good written and verbal communication skills in English.
• Proficiency with:
• Microsoft Office suite (Excel emphasis)
• Bluebeam/Adobe acrobat
• Sage/Timberline
• Textura
• Procore
• Thorough knowledge of construction cost and accounting principles.
• General knowledge of scheduling, estimating, purchasing and engineering principles and techniques.
• Good interpersonal skills.
• Good client management skills and ability to build goodwill.
• Effective time management skills and logical decision-making ability.
• Excellent organizational skills and attention to detail.
• Ability to multi-task and handle competing priorities between Coastal s business needs, organizational issues, and sound customer relations.
• A strong sense of urgency and initiative. Able to quickly study and react to complex issues.
• Excellent problem-solving skills and the ability to confidently and decisively take action.
