Salary Range: $40,189.58 - $49,628.80

Position Purpose:
Provides professional and confidential administrative duties and activities for the Executive and Policy and Performance Departments; responsible for providing front desk support and clerical activities. Duties include meeting and greeting visitors, answering and directing phone calls, and providing general administrative duties in efforts to support the operations of the Organization.
Essential Job Functions:
• Manages front desk operation of the Administrative Office in Ybor.
• Greets and directs visitors to the organization.
• Receives the public and answers questions, in person and by telephone; responds to inquiries from associates and visitors, and refers, when necessary, to the appropriate person, official, or department.
• Ensures knowledge of visitor and associate location by maintaining accurate and complete sign-in/sign-out procedures.
• Prepares and processes all incoming and outgoing mail.
• Receives and routes all incoming/outgoing mail received at the Ybor Administrative Office to the proper departments.
• Provides administrative support to the Executive and Policy and Performance staff.
• Respects and ensures confidentiality in discussing associate, visitor, and all organizational matters.
• May handle customer service calls,, e-mails, complaints, and commendations.
• Generates reports and gathers statistical data as requested.
• Creates and maintains forms and spreadsheets to support department functions and track activities and deadlines.
• Records notes or minutes of meetings and/or interviews.
• Maintains and controls department's files, hard and electric copies, and serves as file manager for the department.
• May complete and monitor purchase requisitions, correspondence, and internal requests forms.
• Identifies and resolves problems in accordance with established procedures and parameters with minimal supervision.
• Performs administrator functions including correspondence, memoranda, reports, and other material of highly confidential nature; composes and initiates routine correspondence and memoranda independently, to address daily departmental activities.
• Schedules and confirms conferences, meetings, travel reservations, and appointments for the department.
• Provides ongoing assistance and training to the department staff involving the usage of various machines, tools, and equipment.
Marginal Functions:
• Performs other work-related duties as assigned.
Requirements:
Education and Experience:
• High school diploma or general education (GED) required.
• One (1) to three (3) years of progressive experience as a customer service, human resources, legal, or risk representative, or other related administrative work.
• Demonstrated experience in MS Office Suite to include Outlook, Word, Excel, and PowerPoint.
Tools & Equipment Used:
• Ability to operate small office equipment, including copy machines or multi-line telephone systems, as well as a computer for both data entry and word processing, and/or accounting purposes.
Licenses/Certifications:
• Valid Florida Driver's License or be able to obtain one within 10 days of hire or moving to the State of Florida.
• Obtain internal HIPPA Certification within 2 weeks of employment.

Physical Demands/Work Environment:
• Work is performed in a standard office environment.
• Constant periods of sitting, oral and written communication, and listening.
• Frequent periods of computer usage and walking.
• Ability to hear, see, speak, and perceive color, depth and texture.
• Subject to standing, walking, bending, reaching, stooping, and lifting objects up to 25 pounds.
• May be exposed to potentially intimidation and/or unreceptive members of the public; may occasionally be exposed to dangerous machinery, extreme weather conditions, extreme noise and physical harm.
