Full Job Description
The successful incumbent of this position will be responsible for handling front office reception and administration duties including greeting guests, answering phones, handling company inquiries and some administrative support responsibilities.
RESPONSIBILITIES INCLUDE (but are not limited to):
• Screen and route incoming calls to team members via multi-line phone system, taking messages when appropriate.
• Provide customer service support and answer inquiries about the company
• Greet visitors and make sure they are comfortable
• Schedule meetings
• Update appointment calendars & schedule customer follow ups
• Create and maintain client files
• Scan and Upload PV solar plans
• Create memos, send emails and faxes
• Communicate with customers; incoming calls, scheduling, and follow ups.
• Calls to tech support, Respond to customer follow up emails, project status, etc.
• Send out notice of project completion to customers.
• Help develop documentation such as job aides, process flow charts, etc.
• Other administrative tasks and projects as assigned
SKILLS/EXPERIENCE:
• Excellent communication skills (talking, writing and reading).
• Professional phone etiquette
• Working knowledge of Microsoft applications and Email software.
• Ability to type 50+ WPM

Qualification Requirements
• Previous solar experience preferred
• Previous office or clerical experience preferred
• Must be self-motivated as well as thrive in a team environment
• Ability to manage workflow while multitasking
• Excellent customer service skills required
• Excellent written and verbal communication skills required
• Regular, reliable and predictable attendance required
• Ability to work well with others in a collaborative team environment
• Basic computer skills
• Attend webinars or departmental calls
• Ability to communicate with different departments efficiently with no less than a 24-hour turnaround time
• Must have a clean driving record, valid state driver’s license
