Rello Search Partners is searching for a full time Operations Analyst with our client in Ruskin, FL. This position will support the President and other executives to include Accounting & Finance, HR, Operations, Sales & Marketing.
The Operations Analyst will work out of the corporate office and be onsite to support the executive team. This is a high visibility role with great exposure and interaction with all departments of the company.
Responsibilities:
Collect, review and analyze data, and prepare reports, charts, budgets and other presentation materials.
Assist in reviewing various types of contracts, agreements and summarize terms ensure compliance with company policies as well as relative laws/regulations.
Respond to and handle confidential and sensitive information with poise, tact, and diplomacy.
Coordinate and implement marketing communication projects. Participate in creating brand awareness through trade shows, events, advertising and social media. Arrange proposals and presentations using marketing resource materials such as brochures, data, slides, photographs, and reports. Prepare status reports on marketing efforts by communicating with appropriate sales managers.
Provide administrative and clerical tasks essential to the mission of the company and the day-to-day operation of the Executive Office.
Maintain and schedule the President’s calendar, travel schedule, appointments and other commitments.
Book and review all travel arrangements for the President and others as requested; prepare the itinerary, confirm lodging and transportation, and process travel expense reports.
Provide the President with background information and/or supporting documents in preparation for scheduled appointments, meetings, speaking engagements, conferences, interviews, etc..
Screen incoming calls to the President, determining nature of call and whether it requires the attention of the President. Whenever possible respond to caller directly based on knowledge of the President's preferences, office functions, policy, priorities, availability, etc.
Process all incoming correspondence, directs mail to appropriate internal staff. Draft responses for the President's signature to ensure accuracy and completeness as well as consistency with organizational policy. Follow up with staff to ensure deadlines are met. Review other prepared documents requiring the management team's signature.
Prepare and distribute relevant materials to the executive team in advance for management meetings. Take minutes at meetings and follow up on action items, providing support to thee executive team as needed.
Perform duties as assigned to support the executive office and team.
Requirements:
Bachelor degree highly preferred
Fully bilingual in English and Spanish (speak, read and write) highly desired
5+ years of relevant experience in an operations or administrative support role
Must be highly organized with exceptional interpersonal and communication skills
Excellent judgment and high attention to detail required
Must be able to manage highly confidential information with integrity and discretion
Proficient in MS Office, must have strong MS Excel and business systems knowledge
Must be able to work onsite – this is NOT a remote position
