Looking for an energetic and detail-oriented individual who will support the delivery of quality legal services to clients and perform their tasks efficiently and with a great attitude!
The perfect candidate will have an upbeat and positive attitude with a keen interest in business law. The role is multifaceted and requires the candidate to juggle more than one task efficiently with great attention to detail.
We hold our employees to a very high standard and encourage our employees to communicate regularly with the principal attorney to ensure their success.
Legal experience is required as the firm is looking for someone who can hit the ground running. We use a lot of systems and processes that make your job very manageable and systemized.

Requirements to Apply:
• High School Diploma
• At least 2 years of experience working as a legal assistant
Job Duties Include:
• Register LLC’s & corporations & prepare related organization documents;
• Research name availability on Division of Corporation website;
• Prepare & obtain EINs for companies;
• Clearly and accurately send status updates to clients;
• Prepare transmittal letters to clients enclosing draft and/or execution documents;
• Meet with clients to execute documents;
• Prepare, process & proofread legal & administrative correspondence & documents;
• Maintain files, communicate with clients, opposing counsel, courts, agencies & the general public;
• Prepare & process outgoing mail & faxes, arrange for specialized mail or messenger service as required;
• Maintain & update calendars for attorneys, including meetings, appointments, due dates & client-related activities;
• Keep client internal updates current;
• Prepare daily time entries for work completed;
• Proactively demonstrate effective teamwork and provide assistance to other staff members as time permits;
• Receive & screen telephone calls, take messages as required;
• Arrange a conference room for meetings and consultations;
• Complete forms and request missing information from clients;
• Consistently follow-up with clients to collect missing documents and information for the attorneys;
• Proactively anticipate the needs of attorneys, plan ahead & meet deadlines;
• When necessary, serve as back-up to Receptionist; and
• Any other tasks as assigned by the attorney.
SKILLS AND QUALIFICATIONS
• Bright and quick to think under pressure
• Problem solver with a keen interest in proactively finding solutions to the firm's challenges
• Cordial and polite with an upbeat positive attitude
• Tech-savvy and quick learner with new tech applications/software
• Excellent writing skills and email etiquette
• Strong time management skills
• Proven working experience as a legal assistant or secretary
• Reliable and punctual at all times
• Interested in office management
• Satisfactory knowledge of day-to-day operations of a legal office
• Computer literacy including Microsoft Office, specifically, Outlook, Word, Excel and PowerPoint
• Follow directions well and enhance procedures and directions if necessary
• Excellent grammar skills
• Pays great attention to detail
• Working knowledge of case management software
• Excellent secretarial and organizational skills
• Ability to juggle multiple activities and work under pressure
• Bilingual in Spanish, French or Arabic is a plus

HOURS
• Monday-Friday 8:30 am to 5:30 pm
• Some weekends and late evenings may be required from time to time-Candidate must be able to work late when needed with short notice.
• Pay is commensurate with experience and expertise. Bonus structure may be implemented after the probationary period.

We are a small firm and currently are not seeing any clients in the office.
We are a highly systemized firm that can allow employees to work remotely without skipping a beat if a need shall arise.
