Personal Assistant to CEO
To start as Part-Time Hourly Non-Exempt, working up to Full-Time Salaried Position
Direct Report: Will be reporting directly to the Executive Assistant to the CEO
Education: High School Diploma/Equivalent required. Preferred: Working on or Earned a Degree in Business Management, Communications, Health Sciences or Public Relations, or the like.
Work Experience: Minimum 1 year as a Personal or Executive Assistant preferred. Experience with SalesForce is preferred. **Must be proficient in Microsoft Suite (Excel, Word, Outlook, SharePoint, OneDrive).
What are we looking for? We are in quest of a Personal Assistant who can support the CEO and improve efficient production.
Responsibilities: This position will start out around 25 hours per week being responsible for managing multiple email accounts for the CEO as he owns both medical and real estate businesses. You will be required to work Monday through Friday (hours are flexible), with the ability to be on call to answer calls/texts/emails from the CEO/Administration team on weekends/after hours. This position will be able to work up to full-time with additional responsibilities of completing business errands, maintaining ongoing business files, working with the executive administrative team to prepare for important meetings, and assisting with creating outgoing correspondence. The ideal candidate for this position is a self-starter who excels in a fast-paced environment and is detail-oriented and organized.

• Must demonstrate exceptional written and oral communication skills
• Must retain the knowledge of IT, including a range of software packages.
• Ability to work under the pressure of a heavy workload and/or short timelines when completing work assignments.
• Ability to be flexible in adapting to changes or interruptions in priorities and assignments which may impact pre-established timelines and courses of action for completing projects and assignments.
• Ability to prepare concise written summaries of comprehensive and detailed written materials.
• Ability to use the Internet to conduct online research and obtain information related to projects or assignments.
• Must possess outstanding interpersonal and intrapersonal skills
• Ability to take initiatives, work independently, and complete projects without detailed instructions.
• Ability to maintain the confidentiality of sensitive and confidential information (e.g., personnel-related issues, projects).
• Must be proficient in Outlook 365 (Office Suite, OneDrive, SharePoint, etc)
• Must be able to dictate emails, compose well-written, professional emails on behalf of the CEO, as well as proofread/edit emails written by the CEO prior to sending.
• Ability to learn new systems/programs quickly
• Knowledge of proper spelling, grammar, punctuation, and sentence structure to ensure that written materials prepared and reviewed are complete, concise, and error-free.
• Ability to use word processing software to develop and format written documents, such as memos, letters, and reports.
• Ability to use project scheduling software to plan, schedule, and track the progress of assignments.
• Ability to use presentation software to design and develop visual presentations and handouts.
• Ability to use word processing software to organize and create basic tables and/or graphs.
• Ability to use spreadsheet software to present tables, graphs, and charts.
• Knowledge of sorting/filing techniques and records retention policies and schedules to maintain accurate records.
• Ability to listen, create, and distribute meeting minutes for the monthly department meetings and other executive meetings
• Deliver and pick-up business-related correspondence in the immediate geographic area
• Prepare the conference room for presentations and meetings
• Must be able to work between hours 9am-7 pm, weekend events periodically
• Must be able to pass a background check, have reliable transportation, and provide references.
• Must have an excellent driving record.
