Scheduler - Job Description
Summary Compiles assignment of schedules for cleaning staff by performing the following duties.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Based on Standard Operating Procedures “SOPs” received from the General Manager, leads the employee scheduling process for various PCL venues.
Creates and administers the distribution of employee availability forms.
Responsible for day-to-day administration of PCL office including but not limited to organization of scheduling files, ensuring necessary office supplies are available, and ordering supplies as necessary
Based on completed availability forms returned from employees, enters employees’ available shifts into Excel Spreadsheet
Based on completed availability forms returned from employees, enters employees’ available shifts into ABI and generates employee schedules. Audits schedules along with Assistant Scheduler to ensure accuracy prior to distribution. Administers the distribution of employee schedules.
Records work schedules and location information into Payroll/Scheduling software following form as displayed on screen, and enter necessary codes to generate employee roster reports.
Ability to translate and convey important work-related duties to those employees being scheduled as listed on the Standard Operating Procedures “SOP’s”
Audits operations calendar daily to ensure all events are scheduled. Plans a minimum of 15 business days ahead from current pay period for all known events.
Makes necessary corrections to information in the Payroll/Software system.
Monitors and records employee call-in messages on the Employee Cancellation line and updates Payroll/Scheduling software notes with absences.
Documents and forwards attendance incidents to Supervisor for review.
Files and/or routes scheduling documents after entry.
Responds to inquiries from employees and managers regarding entered data.
Contacts event managers to resolve questions, inconsistencies, or missing scheduling data.
Makes necessary phone calls to available staff to substitute call-ins, leaves, and/or meet increased cleaning demands.
Replies promptly to emails from General Manager, checks emails on a regular basis during the workday.
